Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong administrative skills and have a passion for creating an efficient and welcoming work environment. This role is essential in ensuring that our office runs smoothly and effectively, supporting both staff and clients.
Responsibilities
- Manage front desk operations, including greeting visitors and handling incoming calls with professionalism and courtesy.
- Drive agent retention through high communication, problem solving, and awards recognition, and social media management.
- Manage day to day tasks to ensure efficient running of all office operations including opening and closing procedures, office appearance & security, subleases to our agents, vendor contracts & relations, and coordinating with Janitorial, IT and Security companies.
- Coordinate administrative tasks such as email communication, calendar management, scheduling meetings, and organizing office supplies.
- Support onboarding procedures for staff and real estate agents
- Plan and execute company events, fostering team engagement and a positive workplace culture.
- Support accounting processes through scanning, logging and depositing incoming checks, processing credit cards, follow-up on missing payments, and supporting month-end financial close activities. Liaison to remote team.
- Maintain an organized filing system for important documents and correspondence.
- Assist in the development of office policies and procedures to enhance operational efficiency.
- As a team player of a close-knit team being ready to jump in where needed!
Qualifications
- Proven experience in office management or a related administrative role.
- Strong front desk experience with excellent phone etiquette skills.
- Proficiency in social media engagement, MS Office and Google Sheets with 50 wpm typing speed preferred.
- Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
- Experience in training development and event planning is highly desirable.
- Excellent communication skills, both written and verbal, with a focus on professionalism.
- Ability to work independently as well as collaboratively within a team environment.
