Overview
We are seeking a highly organized and professional Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our agents and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Agent Support & Development
- Serve as the primary contact for questions and support during onboarding and beyond
- Coordinate ongoing training sessions for in-house tools and systems
- Conduct regular check-ins with agents to provide support and encourage engagement
- Track team satisfaction and performance metrics
- Send thoughtful recognition and support (birthday cards, life events, etc.)
Marketing Coordination
- Manage in-house marketing support, including scheduling and resource coordination
- Create and distribute internal communications and promotional materials
- Oversee agent branding needs such as signage, business cards, and printed materials
- Guide agents through onboarding to digital marketing platforms and monitor usage
- Serve as the liaison between marketing vendors and staff
Meetings, Events & Training
- Help plan and prepare for office meetings and educational sessions
- Coordinate with guest speakers and outside vendors
- Implement systems that support business planning, accountability, and growth
- Organize team-building events, seasonal gatherings, and training workshops
- Create materials, manage signups, and track attendance
- Facilitate regular team recognition events and awards
- Conduct weekly engagement through emails, calls, and notes to agents
- Deliver occasional training based on area of expertise
Top Performer & Luxury Team Support
- Educate top producers and luxury-focused agents on available tools and support services
- Assist with onboarding and integration for high-producing agents
- Coordinate with leadership on special support needs for top-performing team members
Office Operations & Administration
- Maintain consistent team meetings focused on productivity and growth
- Oversee scheduling for appointments, meeting rooms, and events
- Provide training on office technology tools (e.g., digital platforms, print tools)
- Maintain systems for agent materials and branded resources
- Ensure office supply inventory and organization across locations
- Partner with leadership to review key performance reports and plan accordingly
- Coordinate with vendors to resolve tech and equipment issues
- Maintain updated contact and communication systems for agents
- Identify opportunities for team member recognition and development
- Track performance indicators and assist with financial initiatives
- Encourage team participation in company incentive programs
- Manage social media content in collaboration with marketing and administrative staff
- Monitor agent participation in meetings, events, and trainings
- Support compliance, renewals, and financial tracking as needed
- Use data tools to assess progress and performance
- Maintain professionalism and order in the physical office environment
Leadership & Special Projects
- Participate in weekly strategy and leadership meetings
- Join daily team calls focused on personal and professional development
- Promote a positive culture through mentorship and collaboration
- Manage and execute assigned special initiatives and improvement projects
- Assist with planning and hosting for large-scale team and company events
- Stay actively involved with leadership committees and culture-focused programs

Pay: $18.00 - $22.00 per hour
