Who We're Looking For:
We are searching for an executive assistant with a servant's heart, possessing exceptional organizational skills, and a proactive, fast-moving attitude. The ideal candidate should thrive in a fast-paced environment and be capable of adapting quickly to the ever-changing needs of a business owner with multiple ventures. The right person will be self-sufficient and possess the ability to navigate various challenges independently. Furthermore, they should have a strong understanding of privacy concerns and the capability to work effectively with others as required. While marketing experience is advantageous, it is not a prerequisite for this role. We value individuals who take ownership of their tasks, maintain multiple timelines effectively, and demonstrate resilience in problem-solving. Previous real estate experience is beneficial but not mandatory.
Responsibilities:
- Efficiently manage the executive's calendar, ensuring all appointments and meetings are organized effectively
- Coordinate travel arrangements, including booking flights, accommodations, and transportation
- Oversee and manage projects across multiple companies, ensuring timely completion and coordination with relevant stakeholders
- Track expenses and basic bookkeeping in QuickBooks
- Review company reports and assist the executive in analyzing and synthesizing information
- Assist with basic event coordination tasks
- Participate in marketing strategy reviews for multiple companies
- Crea and manage company events
- Aid the executive in preparing for meetings, providing necessary documentation and materials
- Handle email correspondence and respond to document requests on behalf of the executive
- Draft slides, meeting notes, and other documents for executive use
Qualifications:
- High School Diploma or equivalent experience
- Proficient in the Microsoft Office suite (Word, Excel, PowerPoint, Outlook)Proficient in Google Workspace and strong computer skills
- Ability to type at least 55 WPM
- Previous experience in managing multiple priorities, administrative coordination, and logistics
- Strong organizational skills, attention to detail, and the ability to multitask effectively
- Excellent written and verbal communication skills
