This vital position is a Full-Time role and requires the candidate to work onsite, as this is Not a Remote Job. We’re located in the heart of the community and pride ourselves on the top-notch efficiency and comfort we deliver to our patients. As the frontline point of contact, you will be instrumental in maintaining a warm and welcoming environment for our patients as well as ensuring a smooth operational flow within our facilities.

The role of Dental Receptionist at Kellerman Dental involves a mix of interpersonal, organizational, and administrative tasks, aimed at improving our clinic’s efficiency and the satisfaction of our patients. The ideal candidate should be passionate about healthcare services and empathetic towards patient needs, understanding the importance of creating an enchanting first impression.

Duties and Responsibilities

  • Warmly greet patients and visitors as they enter the clinic, ensuring a pleasant welcoming experience.
  • Effectively manage the scheduling of patient appointments using clinical software, taking into consideration patient needs and priority.
  • Answer and manage incoming calls and respond to inquiries with a professional demeanor.
  • Register new patients and update existing patient records with meticulous attention to accuracy and privacy regulations.
  • Handle patient appointment reminders and confirmations through various communication channels including phone calls and emails.
  • Assist in the processing of dental insurance claims, verifying patient benefits and explaining coverage to patients as needed.
  • Coordinate with dental practitioners and other staff members to ensure seamless operational flow.
  • Provide administrative support such as preparing reports and maintaining detailed and organized files.
  • Process and manage payments from patients, preparing and ensuring accuracy of receipts and invoices.
  • Maintain a clean, orderly, and calm reception area throughout the day.
  • Engage in ongoing educational opportunities to better understand dental procedures and terminology to effectively communicate with both staff and patients.
  • Follow up with patients who are due for recare to schedule necessary appointments, thus ensuring continuity of care.
  • Ensure compliance with all health and safety regulations within the clinic environment.

Requirements

  • High school diploma or equivalent; further certification in Office Management or similar field is a plus.
  • Proven experience as a Receptionist, Front Office Representative, or similar role preferably in a healthcare setting.
  • Strong communication and interpersonal skills with an ability to interact amicably with patients and team members.
  • Proficiency in using healthcare software and patient management systems.
  • Excellent organizational and multitasking abilities.
  • Acute attention to detail with strong emphasis on accuracy and confidentiality.
  • Basic understanding of dental terminology and procedures.
  • Capability to handle stressful situations professionally and adapt to changing environments.
  • Must be empathetic and proactive in assisting patient needs.
  • Strong sense of responsibility and a professional presentation.
  • Able to provide optimal patient care and support while maintaining strict confidentiality.
