Summary:
The Branch Administrator serves as the main point of contact for the branch. Coordinates all administrative functions and carries out the responsibilities and essential duties listed below.

Branch Administrator Duties and Responsibilities:
- Act as the first point of contact for clients, addressing their concerns, service needs and product inquiries.
- Creates and maintains customer records in the CRM system, ensuring up-to-date and accurate records.
- Develops and fosters successful relationships through collaboration and effective communication with managers, peers and customers.
- Maintains confidentiality of sensitive and confidential information.
- Answer incoming calls and give information to callers or route calls to appropriate staff members.
- Greet visitors, ascertain nature of visit, and direct to appropriate person.
- Serve as the branch point of contact for service and supply order processing.
- Ensure all sales orders for supplies are entered in a timely and accurate manner in EA.

- Coordinate with required departments to ensure accurate processing; i.e. Inventory, Warehouse & Delivery.
- Coordinate deliveries and ensure completed delivery paperwork is received and sent to the Leasing Team for invoicing in a timely manner.
- Assist in the coordination of marketing and promotional activities under the direction of the Corporate Office Marketing Team.
- Provide support to branch staff and coordinate schedules.
- Coordinate and track lease return information.
- Manage demo floor equipment.
- Manage all orders in EA for the branch and update as necessary.
- Follow up and resolve customer questions or issues.
- Receive and manage inventory of equipment and supplies for the branch.
- Works within a larger Admin team to ensure clear and concise communication between branches of the teams.
- Ensure accurate and up-to-date filing of documents, in our digital repository.
- Complete duties and responsibilities in compliance with company standards, policies, and guidelines.
- Attends the workplace regularly, reports to work punctually and follows a work schedule to keep up with the demands of the branch.
- Participate in ensuring the security of the office, which may include opening and closing the branch.
- Additional duties and responsibilities may be assigned as needed.
Sales Support Duties and Responsibilities
- Assist assigned Sales Representatives in preparing accurate and complete sales documents.
- Follow up as necessary on discrepancies or incomplete paperwork.
- Process deals utilizing Salesforce.
- Work closely with the Order Entry Team to ensure deals are processed in a timely manner.
Supervisory Responsibilities:
This position does not have supervisory responsibilities.
Qualifications:
Knowledge / Skills
- Proficient in standard office software (Word, Excel and Outlook)
- Basic knowledge of office equipment i.e. copiers, printers, telephones
- Knowledge of CRM Systems, preferably E-Automate and Sales Force.
- Excellent customer service skills
- Able to work independently and utilize sound judgment and problem-solving skills.
- Must be detail oriented, with excellent administrative and organizational skills.
- Ability to manage multiple tasks and meet established deadlines
- Outstanding written and verbal communication skills
- Motivation and the ability to work independently with little or no supervision

Education/Training:
High School Diploma or equivalent
Two to four years of progressive office experience as an administrative assistant or equivalent.
Two to four years of customer service experience.
Certificates and Licenses: None required.
Language Skills:
Read and interpret documents such as safety rules, invoices, SOP's and instructions; write routine reports and correspondence. Effectively present information in one-on-one situations and small group situations to customers or vendors, and other employees.
Math Skills:
Add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals; compute rate, ratio and percent and to draw and interpret bar graphs.
Reasoning Ability:
Apply common sense understanding to carry out instructions furnished in written, oral or diagram form; to deal with problems involving several concrete variables in standardized situations. Identifies problems, gathers information, and offers solutions.
