What are the responsibilities and job description for the Office Administrator position at KelliWorks Accounting Firm?
Job Description
KelliWorks is not your average accounting firm—and this is not your average assistant role.
We are a boutique, high-performance, full-service outsourced accounting firm supporting entrepreneurs, creatives, and business leaders with white-glove financial services. As our Executive Liaison & Accounting Operations Coordinator, you’ll be the right hand to the CEO—helping manage day-to-day operations, streamlining communication, and keeping projects, people, and priorities moving forward.
This role is perfect for someone who thrives behind the scenes, enjoys autonomy, knows how to think for themselves, and lives for organization and problem-solving. We’re looking for someone smart, proactive, and highly capable—someone who isn’t afraid to speak up, take charge, and make things happen.
If you need constant hand-holding or permission to take action, this isn’t the role for you.
You Are:
- A self-starter with sharp instincts and strong follow-through
- Calm under pressure and confident speaking directly with executives and clients
- Tech-savvy and fast to adapt to new tools and AI systems
- Exceptionally organized with strong attention to detail
- Energized by structure, process, and creating order out of chaos
- A strong communicator who delights in being a solution provider
- Hungry to grow with a firm that values your ideas, drive, and initiative
Your Role Will Include:
- Acting as a true extension of the CEO—proactively managing her tasks, inbox, and follow-ups
- Owning client project organization, paperwork, and contract management
- Supporting QuickBooks entries, invoice creation, bank balance reviews, and budget tracking
- Attending and recapping client onboarding and internal team meetings
- Managing project budgets (including high-profile client accounts) with accuracy and discretion
- Leading internal task management systems (Asana, Slack, Google Workspace, etc.)
- Delegating tasks effectively and ensuring accountability across the team
- Helping streamline communication and processes between departments and partners
- Anticipating problems before they arise—and solving them like a boss
Requirements
- 3 years of experience in an operations, executive assistant, or project/accounting coordinator role
- Comfortable with QuickBooks and general accounting workflows
- Mastery of Google Workspace, Slack, Asana, and modern business tools
- Familiarity with AI tools like ChatGPT, Notion AI, etc., a major plus
- Strong verbal and written communication skills
- Must be based in Miami and available to work in person in Brickell (parking is included)
Perks of the Role
- Work in a vibrant, entrepreneurial environment
- Direct mentorship and exposure to high-level business strategy
- Flexibility, autonomy, and room to grow within the company
- The chance to help build and scale something meaningful
If you're the kind of person who gets things DONE, thinks 5 steps ahead, and takes pride in doing excellent work without being micromanaged—we want to meet you.
This is a long-term role with real growth potential for the right person. Apply today and show us what you’re made of.
