What are the responsibilities and job description for the Legal Assistant position at Kemp Smith LLP?
Essential Duties and Responsibilities include the following. Other duties may be assigned to meet business needs.
1. Assists attorneys and paralegals with preparation of a wide range of legal documents such as pleadings, affidavits, motions, orders, answers, briefs, memoranda, correspondence, and other documents for review, approval, and use by attorney.
2. Assists in preparing for hearings, trials (both jury and non-jury), file preparation, coordination and interview of witnesses, exhibits and basic research.
3. Prepares correspondence under direction of attorneys.
4. Schedules hearings, maintains calendar with applicable case dates and ticklers system for all deadlines.
5. Collects, organizes and maintains comprehensive client and matter information in a central digital file to be used in the administrative matter, icluding the accurate preparation of new client and matter intake forms. Maintains data easily accessible to all users.
6. Closes or directs closing of files. Receives, reviews, and discusses inactive matter list with attorney and advises Records on which matters to close.
7. Assists attorneys with accounts receivable collections.
8. Utilizes IntelliPad CRM for seminars, events and holiday gift and card client lists.
9. Assists attorneys to set-up and/or keep Social Media accounts updated to match their biographies on the firm website.
10. Screens telephone calls, visitors, and answers and directs inquiries to appropriate attorney.
11. Performs various clerical duties including but not limited to: opening and routing mail, typing, filing, copying, scanning, and record keeping.
12. Researches case information.
13. Files legal pleadings and other documents with various courts; delivers judgments, and orders for signature by judge.
14. Maintains and controls all physical and electronic files for the attorneys to which the secretary is assigned.
15. Schedules appointments; accepts or refuses invitations; makes reservations; coordinates and organizes meetings; makes travel arrangements; maintains calendar for attorneys.
16. May serve as backup to other secretaries as needed.
17. Contributes to a positive work environment.
