Job Summary
As an Administrative Assistant, you will support our Inside Sales Representatives and help build and maintain exceptional customer relationships. Your responsibilities will include assisting our Inside Sales Representatives with answering customer questions, resolving problems, entering purchase orders, billing, expediting orders, analyzing and updating the open order reports, monitoring shipments and tracking shipment estimated time of arrivals to the port, warehouse and customer.
Job responsibilities
- Support Inside Sales Representatives (ISRs)
- Provide billing assistance to ISRs
- Assist with the entry of customer purchase orders, and with large quantities of purchase orders.
- Track order changes on all mill Open Order Reports (OORs).
- Expediting assistance:
- Analyze, review and update the weekly Open Order Reports (OORs) from suppliers
- Track date moves and missing data
- Monitor shipments from mill to port once they fall off the mill OOR
- Track shipment ETAs to port, warehouse, and customer
- Provide backup assistance, collaborate on customer relationship building and maintain regular communication with ISRs, Finance and Logistics.
- Work with Logistics to maintain a weekly report of all containers that are in transit.
- Answer customer questions, respond to requests, and resolve problems concerning existing or previous orders, shipments, billing, and proper customer credit.
- Update customer records, credit applications and W-9 as needed.
- Provide billing assistance with ITC/Kemper invoices
