Position Summary
Responsible for multi-state payroll processing utilizing our UKG/Ultimate payroll system provider. Deliver timely, accurate processing with service-oriented direct contact with associates, managers and colleagues. Administration includes data entry, coordination with electronic time & attendance recordkeeping system, and monitoring compliance to applicable federal, state and local laws.
Essential Duties and Responsibilities
- Performs tasks to establish and maintain associate/payroll records including entry of new hires and terminations into the payroll system.
- Processes all special and recurring payments, deductions, time-entry, and other periodic edits to the payroll system.
- Checks and audits electronic timekeeping records for compliance with established standards.
- Pro-actively anticipates payroll-related issues and follows up with managers, HR and Finance colleagues for submission of necessary information to fulfill payment of wages, commissions, bonuses, etc. in manner that meets or exceeds associate expectations.
- Assists with resolution of manager/associate questions and problems in a timely and professional manner.
- Upon system activation of self-service capabilities, assist associates with use of self-service system to access electronic pay stubs, direct deposit changes, address changes, changes to exemptions claimed and electronic time and attendance system. Maintains data integrity of timesheet "approvers".
- Carefully reviews system-generated audit reports to ensure explanation for all special payments and compensation changes. Works with Benefits Administrator to review all benefit deduction changes prior to transmitting of payrolls, as needed.
- Submits inquiries from federal, state and local tax jurisdictions to outsourced tax administration service. Tracks vendor's resolution of outstanding items. Maintains records of inquiries by jurisdiction and seeks to avoid penalties and abatement where appropriate. Notifies manager of need for application to new state/local taxing jurisdictions.
- Processes all garnishments/levies ensuring timely start/stop and appropriate notification to affected associates.
- Advise Manager regarding activities and developments affecting associates and/or the department. Recommend improvements in payroll related policies and procedures.
- Troubleshoots issues with outsourced employment verification and unemployment claims administration services. Responds to informational requests for payroll data as required.
- Ensures maintenance of on-site record retention of HR/Benefit/Payroll information for all associates in all locations.
- Payroll Specialist
- Performs regular auditing of associate payroll information to insure proper setup and coding for taxes, deductions, etc.
- Works with internal and external payroll auditors.
- Processes third-party sick pay and other W-2 entries and calculates and creates W-2cs as needed.
- Assist with other duties and provide reporting and administrative support as needed.
- Responsible for protecting, securing, and proper handling of all confidential data held by the payroll system to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information.

- Performs other duties as appropriate or assigned.
Education/Qualifications/Certifications:
- CPP or FPC certification helpful but not required.
- Minimum of 3 years’ experience in payroll processing including handling complex federal, state, local and local tax withholdings.
- Experienced user of payroll software for payroll processing.
Position Requirements:
- Very good communication skills both verbally and in writing.
- Skill with utilizing MS Word and MS Excel software to perform accounting, math, advanced calculations and utilize various accounting software is required.
