Status: Non-Exempt

Classification: Regular Part-Time (20-29 hours per week)

Hiring range: $23.50 - $25.50 per hour depending on experience

This Job Description outlines the basic requirements, duties, and general responsibilities of the position of Guest Services Specialist. Unless modified by a written Employment Agreement, this position is “at-will,” which means the Ken-Caryl Ranch Metropolitan District (“District”) may terminate the employment relationship at any time and for no reason, subject only to the requirements of federal and state law. Similarly, the employee may terminate the employment relationship without notice at any time for no reason.

Job Summary:

The Guest Services Specialist is responsible for handling all front office reception and administration duties at the Community Center and Ranch House, including data entry and utilization of recreation management software, financial reporting for program and facility revenue, and leadership to applicable Guest Services staff. The position will collaborate with the other Guest Services Specialists with long-term plans to cross-train in all facets of these administrative positions.

Essential Functions:

The following duties represent an overview of the primary responsibilities of the Guest Services Specialist and should not be considered an all-inclusive list:

A. Greet and assist patrons by providing a warm and welcoming experience for all guests, answering questions and offering assistance as needed.

B. Process guest check-ins, verify memberships, and assist participants register for programs and activities.

C. Respond to inquiries in person, over the phone, and via email regarding facility services, programs, schedules and policies.

D. Perform administrative duties for all District operations including utilizing software to input and manage program and event registration, overseeing facility reservations, maintaining recreation software management, membership sales and renewals, reporting, and optimizing the customer user interface; collaborate with staff to share marketing content and support; assist with HOA dues inquiries, open space bracelet acquisition; and other HOA duties.

E. Provide administrative support for office functions such as mailing, banking, and other office equipment; serve as a lead user for phone system and other software programs; train other staff on best practices.

F. Provide miscellaneous recreational administrative support including occasional special event support on evenings and weekends. Utilize the recreation program software system to create efficiencies, streamline existing methods, and implement paperless processes for customers and staff; work with applicable staff to provide other efficiencies related to District and Master Association website.

G. Update all applicable documents as they apply to programs, memberships, and facility rentals including but not limited to, facility rental standard operating procedures, staff trainings, and waivers.

H. Train employees on the use of software system including but not limited to memberships and point of sale.

I. Work largely forward facing at the customer service desk answering in person inquiries, e-mails and phone calls while consistently promoting a positive, professional image of the District and providing excellent customer service at all times internally and externally.

Requirements:

Required Experience:

1. High School Diploma.

2. A minimum of three years’ experience in an administrative position, preferably in parks and recreation or any combination of education and/or experience that has provided the knowledge, skills, and abilities necessary for an excellent job performance.

Knowledge, Skills, and Abilities:

1. Ability to read, write, speak, and understand the English language at a level adequate to perform the job.

2. Must have the ability to be flexible and be able to adapt to changing daily schedules based on program and event needs.

3. Ability to learn new software systems quickly. Highly communicative and able to engage effectively across multiple communication platforms. This role requires the ability to convey information clearly to diverse audiences, collaborate with team members, respond to inquiries, and maintain a strong presence through communication channels.

Special Requirements:

1. Possess and maintain a valid Colorado Driver’s License and be insurable by the District’s insurance carrier by maintaining an acceptable driving record.

2. Proficiency in Microsoft Word, Excel, Adobe, and Outlook.

3. Possess, or ability to obtain, valid First Aid and CPR certifications.

Schedule Requirements:

1. Must be available for a minimum 20 hours per week with a set schedule that includes:

a. Approximately 15 hours per week at the front desk of the community center;

b. Around 5 hours per week focused on administrative duties; and

c. 3-5 additional hours per week on an as-needed basis for special event support.

2. During the summer months, front desk hours may increase to approximately 20 hours per week.

3. Primary shifts will be weekday afternoons and evenings.

4. Some weekend availability required .

Work and Physical Requirements:

OFFICE ENVIRONMENT: This position requires work in a variety of locations and conditions, including but not limited to District’s parks and recreational facilities, and other similar inside and outside work areas. A substantial portion of this position will involve sedentary, administrative work in an office environment.

Moderate physical activity is required, including the ability to lift items in excess of 50 pounds occasionally and up to 20 pounds frequently. This position requires standing, walking, stooping/bending, lifting and repetitive motion. Work is performed in all weather conditions. Positive interaction with District employees, subordinate supervisors, other organizations, and the public required.
