SUMMARY
Responsible for administrative support for staffing, benefits and human resources data base/reporting functions. Administrates and coordinates the Company’s time clock. Coordinates temporary employees and company communication, conducts new hire and benefit orientations and assists with translation on employee relations issues.
ESSENTIAL RESPONSIBILITIES
Provides administrative support to the employment/recruitment function.
- Coordinates interviews/simulations for Production/Warehouse positions.
- Maintains employment requisitions and central files for job applications.
- Coordinates with agencies for temporary employee requests and verifies invoices.
- Places classified advertisements for non-exempt positions and verifies invoices.
- Conducts new hire, safety and benefit orientations.
- Documents and files workers compensation claims.
Coordinates and administrates the Company’s time clock system.
- Maintains the database to ensure it is continuously updated and accurate.
- Performs daily corrections in a timely manner to expedite all corresponding labor reports.
- Performs bi-weekly interface between the time clock and payroll systems and ensures hours are correctly posted.
Maintains the payroll system database and benefit changes to ensure accurate payroll, reporting and billing.
- Inputs all changes on a bi-weekly basis to coordinate with processing of payroll.
- Inputs all changes to HRIS to ensure accuracy of reporting new hires, terms, salaries, etc.
- Verifies all benefit invoices in a timely manner to ensure proper payments are made.
- Provides backup for the accounting department for payroll processing.
- Ensures all employees attend a benefits orientation and are enrolled for their benefits in a timely manner.
Provides administrative support for the Human Resources Manager/HR Department.
- Acts as the Company translator (English/Spanish) with regards to documentation, employee relations issues and training.
- Provides coverage for the Receptionist for breaks/lunches as needed.
- Maintains files on all employees and tracks new hires and separations.
REQUIREMENTS
- Two to five years experience supporting the Human Resources department and processing payroll
- Proficient with Microsoft Office (Word, Excel, Outlook, etc.)
- Professional and confidential disposition; exercise considerable judgment and discretion in handling confidential information
- Reliable, dependable, motivated and self disciplined
- Detail oriented with a high degree of accuracy
- Excellent organizational skills; manage time and multiple tasks simultaneously; establish priorities to meet deadlines
- Customer service demeanor and excellent verbal and interpersonal skills
- Ability to interface with personnel at all levels of the company
- Bilingual in Spanish
LANGUAGE SKILLS
Ability to read and interpret technical procedures, invoices, and other HR and Payroll related documentation. Ability to write reports and business correspondence.
MATHEMATICAL SKILLS
Addition, subtraction, multiplication, division, percentages and ratios.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
OFFICE MACHINE SKILLS
Ability to operate general office equipment including PC, fax, copier and printers.
