The Kendall County Sheriff's Office is now accepting applicants for the position of Records Clerk.
Position Description Overview
This role is full-time and requires 37½ hours of work per week, Monday through Friday, from 8 a.m. to 4:30 p.m., on-site in Yorkville, Illinois. This task is clerical in nature and concerns the Sheriff's Office's police records system. Work includes carrying out a range of tasks, from simple to intricate secretarial work. Entering and collating information about criminal incidents, copying documents, updating schedules and other documents, answering phones and directing calls, welcoming guests, writing simple letters, transcribing and filing reports, and entering data into the computer system are among the responsibilities. Work is performed under the direct supervision of the Sheriff’s Office Records Manager.
Principle Duties and Responsibilities

- Serves as primary contact for the Sheriff’s Office, greets visitors and answers incoming calls; provides information, assistance, and direction as appropriate.
- Processes and distributes all outgoing mail.
- Receives cash, check, and credit card payments for fee processing payments into the Sheriff’s Office QuickBooks.
- Processes all paperwork regarding civil process, warrants, crash reports and other records paperwork and reports. Also involved is the preparation of monthly reports for Civil Process papers and monies billed for services.
- Transcribes reports according to accepted format, revise reports as needed and fills report requests pursuant to the Freedom of Information Act and requests for reports from the State’s Attorneys’ Office and other municipalities or government agencies, making all necessary redactions and disseminating.
- Making sure that all mail and faxes received in the Records division are accurately delivered to the proper recipients in a timely manner.
- Maintenance, storage, placement, and upkeep of files.
- Any other assignments as requested by Supervisors.
Minimum Qualifications
- High school diploma or GED required
- Strong customer service skills required
- Proficient in oral and written communication
- Ability to multitask in a busy work environment
- Knowledge of basic accounting and mathematics
- Understanding of the Freedom of Information Act (FOIA) preferred but not required
- Desire to work in a confidential and professional environment
- Experience in typing, record keeping, or secretarial work, or equivalent combination of training and experience.
- Preference for Tyler/New World Records Management System and National Incident Based Reporting experience is preferred but not required
- Law Enforcement Agencies Date System (LEADS) Certification or ability to earn it is required to input, amend, and update information in the State records system.
- Prior experience in law enforcement or public safety is preferred but not necessary.
