To be successful in this role you will need to:
You are the first impression for every visitor to our office, the hub of information, and the person who can answer the questions.
Essential Functions:
- Operate phone, software, and email to answer, screen, and forward calls, schedule appointment inquires, invite new patients to the practice, take messages, and provide confirmation of appointments
- Greet visitors and callers, handle their inquiries and concerns effectively, provide information, pass messages, and direct them to the appropriate persons according to their needs
- Open office, lead morning huddle, monitor practice for neatness and cleanliness
- Monitor schedule and patients who are waiting in room, notify appropriately of any delays
- Schedule appointment in consideration of production and capacity, confirm appointments that have been made
- Check patient records and provide with appropriate forms on arrival
- Set up appointments with specialists, coordinate with offices; send x-rays, letters, and/or referral cards
- Collect, sort, distribute, and prepare mail, messages, and courier deliveries
- Complete and follow up on all new patients, providing insurance paperwork for verification, getting x-rays from previous dentist
- Protect the security of records to ensure confidentiality is maintained, reviewing for completeness, accuracy, and compliance
- Release or transmit information and documents to patients, persons, or agencies by regulation
- Make courtesy calls for treatment follow-up (post op)
- Always represent the practice in a professional, pleasant, and cooperative manner.
- Maintain regular, consistent and punctual attendance
- Comfortably and efficiently handle multiple deadlines and task assignments.
- Work both independently and cooperatively in team settings.
- Use computer applications expertly including practice software systems
- Cross-train to assist financial coordinator when needed
- Other reasonable duties and tasks, as assigned periodically.
Success Factors:
- Always maintain the highest level of confidentiality to HIPAA standards.
- Adhere to strict safety guidelines and procedures to OSHA and office standards.
- Must be comfortable seeing and able to maintain a professional demeanor and attitude while working around blood and smells that may be unpleasant.

- Must excel in forward thinking in order to anticipate the needs of the doctor as well as the patient.
