What are the responsibilities and job description for the Office Manager position at Kentucky Eagle, Inc.?
We are seeking a highly organized and detail-oriented Office Manager to support a sport horse boarding operation and a vacation rental business. The successful candidate will handle a variety of administrative tasks to ensure the smooth operation of both businesses. This role requires excellent communication skills, the ability to multitask, and a customer service-oriented approach. The successful candidate will have frequent communication with bank officials, CPA's, the farm manager and Director of Rental Operations to accommodate the needs of their respective business.
Summary of duties
Banking:
- Online banking and ACH deposits and payroll
- International wire transfers
- Multi-account monthly statement reconciliation
Payroll:
- Weekly payroll processing
- Tax reporting & payments (Federal, State and Local)
- Year-end W2 and any related year end reporting
Accounts Receivable:
- Monthly billing - Quickbooks
- Inventory management - Excel
Accounts Payable:
- Timely bill payment
- Monthly credit card reconciliation
Financial Statements:
- YTD and current comparisons - CYMA
- Excel data reporting
- Data analysis
- Ability to explain variances
- Year-end close
Rental Reservation System
- VRBO and Lodgify
- Accurately maintain calendar
- Monitor and record guest deposits when due.
- Invoicing
- Customer targeting through websites
Minimum Requirements:
- 5 years office management. Multi business operation preferred.
- 3 years AR/AP with account reconciliation.
- 2 years of payroll and tax filing
- Strong Excel skills
- Strong Quickbook skills
- CYMA experience preferred
- Excellent organizational and communication skills
