Job Title: Referral Coordinator
Reports to: Director, Clinical Operations
Location: Louisville, Downtime
Status: Full-Time

We are a leader in the industry, providing superior medical care in a compassionate setting within our community. Our high-quality medical clinic team has Kentucky offices with locations in Louisville, Lexington, Elizabethtown, & Bowling Green, and Murfreesboro, TN, along with North & South Carolina. We specialize in treating patients who have been victims of an Automobile injury (similar to Workers’ Comp Injury) and are considered the top choice for patients dealing with Auto injury.
All of our physicians are board-certified and Fellowship Trained in Pain Medicine and board-certified in Anesthesiology.

We are seeking an experienced Referral Coordinator at our Downtown Louisville location.

Common Pain Management Treatments We Offer:

• Medial Branch Blocks• Radiofrequency Ablation• Joint Injections• Occipital Nerve Blocks
  • Trigger Point Injections

Job Responsibilities

Referral Processing:
  • Receiving and processing referrals from primary care physicians and other healthcare providers.
  • Ensuring all necessary information is included in the referral, such as patient demographics, insurance details, and clinical background.
  • Verifying patient eligibility and insurance benefits.
  • Obtaining necessary pre-authorization or prior approvals from insurance companies.
Scheduling and Coordination:
  • Scheduling appointments for patients with specialists, diagnostic tests, and procedures.
  • Coordinating with specialists and other healthcare providers to ensure smooth transitions of care.
  • Communicating with patients to confirm appointments and provide clear instructions.
Documentation and Record Keeping:
  • Maintaining accurate and up-to-date records of patient referrals and appointments.
  • Tracking the status of referrals and ensuring timely follow-up.
Patient Communication and Education:
  • Serving as a point of contact for patients and their families, answering questions and addressing concerns regarding referrals.
  • Providing patients with information about their referrals, including expectations and procedures.
  • Educating patients on their conditions and treatment plans.
Other Duties:
  • May assist with patient registration and insurance verification.
  • May be involved in case management or care coordination activities.
  • May work with financial services to ensure accurate billing and reimbursement.

Required Skills and Qualifications

  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Knowledge of healthcare terminology and procedures.
  • Familiarity with insurance verification and authorization processes.
  • Proficiency in computer systems and electronic health records (EHR).
  • Ability to handle sensitive patient information with confidentiality.
  • High school diploma or equivalent required; associate or bachelor’s degree in a related field preferred.
Physical Requirements:
The physical demands of this position will include sitting and standing with occasional light to medium lifting. An employee must meet these requirements to successfully perform the essential duties of this job. Reasonable accommodation will be made in accordance with ADA rules and regulations.

  • Environmental factors: Standard office lighting, temperature, and noise.
