Position: Assistant Center Director/Family Service Coordinator
Reports To: ESH CDC Director
Compensation: Non-Exempt/40 Hours Per Week
Summary: The Assistant Center Director/Family Service Coordinator is responsible for assisting in the coordination of center operations, maintaining staff work schedules and responsibilities, assisting the center director as well as Scholar House Programs Director in the management of the program, and communicating effectively with children and adults.
Essential Functions:
ESH CDC Responsibilities:
1. Greeting and welcoming guests, parents, and children as they enter the CDC.
2. Answer all incoming calls and redirect them or take messages.
3. Keep the front office, conference room, and computer room clean/organized.
4. Ensure that employees adhere to the Agency’s Employee Handbook and the ESH CDC Staff Handbook and provide timely information to employees regarding policy updates/changes.
5. Support staff and families in their respective roles in serving our children and encourage their involvement in all aspects of the program.
6. Maintain contact with families and work with all other components to integrate services into the school setting.
7. Ensure that classrooms are adequately staffed and reassign staff as needed to maintain required staff/child ratios.
8. Responsible for classroom coverage in the absence of the lead teacher or assistant teacher when not enough staff present.
9. Assist in the registration/enrollment process for new families.
10. Schedule and participate in parent meetings, trainings, and events for families as needed.
11. Assist staff and parents in classroom transition plans for children.
12. Assist in the upkeep of records in Pro-Care regarding family/child information.
13. Assist in the purchase of food, non-food items, equipment, and necessary supplies for food service operations.
14. Assist in the purchase of supplies for housekeeping, laundry, fire safety, security, and general maintenance. Maintain an inventory to always ensure an adequate supply of necessary items.
15. Assist to ensure accurate and up-to-date information required for center inspections and licensing is maintained.
16. Attending trainings and staff meetings as scheduled and facilitate CDC staff meetings and trainings in the absence of the Center Director.
17. Provide on-site supervision of staff to include orientation and training.
18. Report all complaints, non-compliance program concerns/violations and reports of child abuse/neglect immediately to supervisor. Note: Any problems in regard to staff, non-compliance of child-care regulations, or reports of abuse/neglect that must be reported to DCBS must also be reported immediately to the supervisor.
19. Assist in the coordination and oversight of all facility preventive maintenance and repair initiatives. Ensure cleanliness of facility and conduct routine inspections of building to determine, remove, address, safety hazards and report to Center Director.
20. Assists and participates in program monitoring as needed.
Scholar House Programs’ Responsibilities:
1. Assists to ensure that program participants with children at ESH CDC adhere to the ESH/KCC Participant Handbook.
2. Assists in the Registration/Screening/Enrollment Process for families with children.
3. Be knowledgeable of community agencies and resources, how to access them, and ensure up-to-date information is maintained.
4. Send information to the Scholar House director about community meetings, including date, time, and place.
5. Attend community meetings throughout the program year, as requested by Scholar House Director.
6. Assist to provides residents with case management, workshops, and access to various programs including parenting skills, management of family resources, nutrition, work skills, problem solving, and job search techniques. Refer tenants to mental health, domestic violence, or other applicable support services as needed.
7. Ensure participant files include all relevant documents according to eligibility requirements. Maintain such files in a secure and confidential manner as required by program/agency guidelines.
8. Maintain positive relationships with housing management team to ensure participants receive quality customer service in the application process, continue to have their maintenance needs met and remain in compliance with the tenant selection plan.
9. Assist to provide strong direction and clear communication to program participants regarding program requirements; clarifies policies and procedures and disseminates relevant information as needed.
10. Assist to provide a supportive environment for program participants and meets regularly with scholars to monitor progress on goals.
11. Identifies and develops ways to support tenant and scholar success and monitors academic performance of scholars to identify areas of concern requiring additional support.
All other Responsibilities:
1. Maintain office files and order necessary forms and supplies as needed for daily operational activities.
2. Be responsible for proper care of all office equipment and supplies.
3. Cultivates strong and lasting professional relationships with scholars, staff, volunteers, stakeholders, donors, and community members.
4. Provides positive representation of ESH, KCC, and Kentucky River Foothills on campus and in the community and advocates for families and students.
5. Participates in program and/or agency fund-raising activities as directed by supervisor.
6. Performs all other duties, as assigned.
Education, Experience & Training:
Kentucky Child Care Director’s Credential required. CDA required. Five Years prior experience in a licensed childcare program.

Position requires occasional or frequent moderate physical activity. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is occasionally required to stand; walk, climb, balance, stoop, kneel, crouch, crawl, and use hands to manipulate, handle or feel; and reach with hands and arms. While performing the duties of this job, the employee is occasionally required to lift and/or exert force up to 40 pounds.
Other Requirements:
Must have a valid driver’s license and the flexibility and willingness to change schedules and duties as needed according to staff availability. Must be willing to travel the service area as needed. Travel is primarily local or within the service area during the business day, although some out-of-the-area and overnight travel may be expected.
Agency policy regarding drug and alcohol testing and criminal background checks applies to this position.
