Kentucky School for The Blind Charitable Foundation Administrative Director (Full-Time)
Seeking a full-time Administrative Director to provide support to the Executive Director of a small charitable foundation – Kentucky School for the Blind Charitable Foundation. Looking for a courteous, self-driven employee with strong communication, organizational, bookkeeping and time management skills. This position reports directly to the Executive Director.
Primary Duties and Responsibilities
Public Relations, Program Support, and Fundraising
- Manage all aspects of fundraising events for the charitable foundation including timelines, budget, volunteer recruitment, auction item procurement, marketing, event production, and post-event reporting.
- Coordinate with print vendors to design/create event materials, brochures, flyers, annual report, and other print materials.
- Produce e-blasts, e-newsletters, and social media posts.
- Update website as needed.
- Represent the Executive Director in his/her absence at meetings, events, presentations, etc. as needed.
- Assist in the implementation of new programs and projects.
- Able to co-develop and implement strategic initiatives, manage budgets, and analyze program data.
Office Management and Administrative Support
- Track and generate reports for grants, scholarships, and program expenditures.
- Organize and execute bi-monthly bill paying and deposits as well as maintain bookkeeping/accounting records; provide financial reports as needed and work closely with offsite accountants.
- Ensure compliance with all applicable laws, regulations, and guidelines related to nonprofit organizations.
- Respond to e-mails, answer phone calls, sort mail, check voicemail, and order office supplies.
- Place and track Amazon orders for KSB staff members.
- Assist with preparation and keep detailed minutes for committee and board meetings.
- Maintain updated records regarding the Board of Directors (including policies, contact information, terms, meeting dates, etc.).
- Write business letters including donation acknowledgements, sponsorship requests, auction item solicitations, and other fundraising communication.
- Create brochures, t-shirts, and invitations for events.
- Coordinate statewide Braille Writer Loan Program including database updates, recipient mailing and correspondence, ordering devices and parts, and reporting.
- Manage 1-2 Kentucky School for the Blind Work Study Students 1-2 hours a day 4 days a week in the absence of the Executive Director.
Education and Related Job Experience
- Minimum of a bachelor’s degree in communications, business administration, marketing or related field with experience in bookkeeping required.
- Experience in managing events and executing communication materials preferred.
- Proficient in MS Office (including Word, Excel, PowerPoint, Publisher, etc.).
- Experience with OneDrive, Quickbooks, Zoom, and event software (i.e Bidpal).
- Comfortable with learning new technologies and processes
- Desktop publishing, global mail software (such as Constant Contact), and website editing experience is a plus (WordPress).
Small office environment with flexible work hours. Some travel is required to attend meetings, and attend and host events. Must have your own transportation and a valid driver’s license.
FULL TIME POSITION
SALARY RANGE $45,000-$55,000
3 WEEKS OF PAID TIME OFF
11 PAID HOLIDAYS
HEALTH INSURANCE STIPEND OF UP TO $450 PER MONTH
