Role reports to : Chief Scientific Officer Location : Summit, NJ Travel % : 10% Pay : $68,000-$120,000 What you will do The Executive Assistant is responsible for providing comprehensive administrative support to the Chief Scientific Officer , including managing a complex business calendar, coordinating Research and Development Team meetings, collecting and consolidating leadership data, organizing confidential files and coordinating extensive travel arrangements. You will also be responsible for tracking action items and following up on activities of direct reports and other staff on behalf of the Chief Scientific Officer : Key Responsibilities
- Develop and maintain effective communication channels with leadership teams and stakeholders.
- Coordinate and manage complex business calendar for the Chief Scientific Officer to include scheduling appointments and managing the Research and Development Leadership Team yearly calendar
- Coordinate all travel arrangements for the Chief Scientific Officer and other members of the Research and Development Leadership Team and process all expense reports on time
- Conduct research and prepare reports, presentations, and correspondence.
- Assist with project management and ensure deadlines are met.
- Maintain confidentiality and handle sensitive information with discretion.
- Collaborate with other assistants and support staff to ensure smooth operations.
- Provide exceptional customer service and support to all stakeholders.
- Continuously seek ways to improve processes and procedures.
- Manage and prioritize all communications, including phone calls, emails, correspondence, mail, and faxes for the Chief Scientific Officer and other members of the Research and Development Leadership Team
- Maintain accurate and confidential records and files
- Interact with various levels of management and build strong relationships with EAs of other management team members
- Utilize and innovate on current technology platforms to improve productivity and efficiency What we are looking for Required Qualifications
- Minimum of 8-10 years of experience in a related role.
- Associates Degree or equivalent education level.
- Ability to work independently and as part of a team.
- Strong problem-solving and critical thinking skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proven ability to work collaboratively as part of a team
- Exceptional communication skills (both written and verbal)
- Ability to work with a high sense of urgency while maintaining a high degree of professionalism
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, high-profile, and rapidly changing environment
- Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook)
- Experience working with procurement systems, travel systems, and vendor systems (Workday, Concur, Apex, Totality, eMP / Ariba, ADP, etc.)
- Experience managing multiple calendars via Outlook
- Ability to handle medium-sized internal meeting logistics Desired Qualifications
