About the role
The Contracts Supervisor is responsible for overseeing the administrative contracting unit within the Corporate Services Department. This role ensures the efficient, effective, and compliant administration of contracts, procurement processes, and related documentation. The Contracts Supervisor leads a team of contract professionals and support staff, providing guidance and coordination of contract management, risk assessment, and regulatory compliance. This position collaborates closely with internal stakeholders and external vendors to streamline contract processes and optimize procurement operations.
Essential Duties and Responsibilities:
- Supervise the administrative contracts unit, ensuring timely and accurate contract administration.
- Oversee the development, review, negotiation, and execution of contracts, including service agreements, vendor contracts, and procurement documents.
- Ensure compliance with organization policies and procedures, industry regulations, and legal requirements in contract administration.
- Provide leadership and guidance to the contracts team, assigning tasks and monitoring performance.
- Create and maintain relationships with vendors as the main point of contact for matters concerning contracts and procurement processes (i.e., Requests for proposals).
- Maintain accurate records of contracts, amendments, and correspondence in contract management systems.
- Collaborate with legal, procurement, finance, and compliance teams to ensure alignment on contract terms and risk mitigation.
- Develop and implement standardized contract processes, templates, and best practices to improve efficiency.
- Monitor contract lifecycles, renewals, and terminations to ensure seamless business operations.
- Assist in the resolution of contract-related disputes that arise with vendors and service providers.
- Generate reports and analyze contract performance metrics to support decision-making.
- Manage the internal contract approval process, including preparation of materials for the Contract Steering Committee, Finance Committee, and Board of Directors meetings.
- Performs other job-related duties as assigned.
Minimum Qualifications
- Bachelor’s degree in Business Administration, Legal Studies, Supply Chain Management, or a related field.
- Minimum of four (4) years of experience in contract administration, procurement, or a related area.
- An equivalent combination of education and experience.
- Prior supervisory experience.
- Professional certification in contract management (e.g., CPCM, CFCM).
- Strong knowledge of contract law, procurement regulations, and risk management practices.
- Experience working with contract management software and enterprise resource planning (ERP) systems.
- Excellent negotiation, communication, and interpersonal skills.
- Strong analytical abilities and attention to detail in reviewing contract terms and conditions.
