Job Description: Dispatcher/Scheduler
Reports to: Transportation Coordinator
Description of Work:
The dispatcher/scheduler assists in coordinating the day-to-day operations of the Authority and is responsible for insuring that the individual agency and public requests for transportation are honored according to the priorities established by the Authority. The scheduler will work closely with the Transportation Coordinator in developing and evaluating transportation service providers. In the absence of the Transportation Coordinator, the dispatcher/scheduler will perform supervisory functions in regard to Operations.
Duties and Responsibilities:
1. Provides scheduling of passenger service provided through the Community Transportation Program (CTP).
2. Keeping daily records of requests for service and filing in an efficient manner.
3. Notifies passengers and/or agencies if scheduling changes occur.
4. Getting routes covered when someone is out.
5. Assists in resolving service complaints, concerns, and problems and assists in making recommendations for improvements.
6. Processes information using a variety of computer-driven word processing, spreadsheet, and transportation programs. Performs data entry necessary to maintain schedules, print trip manifests, ensure accuracy of fares and funding sources, etc.
7. Prepares trip manifests and distributes to applicable providers within strict time frames.
8. Reviews routes and services for improvements, increased coordination, and cost-efficiency changes in collaboration with the Transportation Coordinator and Dispatcher.
9. Answers KARTS phone lines in a friendly and professional manner.
10. Operates the radio base station and communication with drivers and documents all communication when needed.
11. Opens the office in accordance with established procedures.
13. Learn all aspects of and work in Dispatch as needed.
14. Attends conferences, training, and other meetings as requested.
15. Performs related work as required.
Knowledge, skills, and abilities
Working knowledge of the geography of the service area in regard to roads. Having knowledge of, and conforming to, the policies and procedures of KARTS. Must possess the initiative and integrity to get the job done in a proper and timely manner. Have the ability to perform multiple tasks under pressure and accept change and make changes as conditions warrant. The ability to establish and maintain effective working relationships with employees, the general public, and human service agencies
Will be trained in all required aspects annually.
Suggested Minimum Qualifications:
Considerable knowledge of modern office practices, procedures, and equipment. Considerable experience in secretarial or clerical work; Graduation from high school supplemented by course work in office technology, business practices, or a related field; computer capabilities and knowledge of file maintenance preferred; or an equivalent combination of experience and training
