Responsibilities:
An Office Coordinator is responsible for performing day-to-day medical office activities which includes scheduling, registering patients, verifying coverage, ensuring payment for medical services, maintains medical records and clinical documentation. Participates in activities to ensure timely capture and appropriate documentation of services rendered. Always provides customer friendly service.
- Verifies insurance and/or payment method. Obtains and tracks referrals, insurance authorizations and certifications (from payers, patient, or referral source as appropriate) and communicates this data to patient, business office and practice staff.
- Ensures appropriate authorization(s) are in place prior to services being rendered by medical providers.
- Enters information into computer system for new patients and routinely updates information for established patients and performs registration functions (in advance of scheduled appointment when possible).
- Prepares and enters all charge tickets, documents and information medical outpatients.
- Ensures that all necessary financial and clinical forms are signed by the patient prior to services being rendered.
- Provides medical record documentation as requested by medical records and billing office within a 48 hour turn around.Maintains knowledge of and participates in performance improvement and risk management activities.Supports the physicians with messages, charge entry, communications with the hospital staff, outside phone calls, physician schedules e-mailed to the nursing units, schedules coverage for physicians who are off duty, physicians timesheets, all correspondence requests from physicians.Explains outpatient policies and procedures and billing practices to patients. Directs patient appropriately as necessary.Ensures that all EMRs are updated with each patient visit.
- Collects referrals, prescriptions and orders (as appropriate). Obtain copies of insurance card(s).
- Collects, tracks, enters and documents co-payments and related fees for supplies and services.
- Performs cash reconciliations, prepares deposit slips and forwards logs to business office.
Qualifications:
Minimum Qualifications
High School diploma or equivalent required.
One year office experience required.
Preferred Qualifications
Previous medical office experience preferred
Experience with medical insurance authorization, terminology and patient interaction preferred
