The Executive Assistant is responsible for assisting and providing administrative support to C-Suite Leaders and the departments they oversee.
RESPONSIBILITIES:
There are no minimum securities industry registrations or software/technology certifications required. However, strong familiarity with Microsoft Outlook and proficiency with using Microsoft Excel to generate reports and perform data analysis is preferred.
OTHER DUTIES:
Internal applicants must be in good standing and have a minimum of 1 year of service with Kestra. Internal applicants must also have a minimum of 1 year service in current role unless approved by EVP.

The Executive Assistant is responsible for assisting and providing administrative support to C-Suite Leaders and the departments they oversee.
RESPONSIBILITIES:
- Manage calendars and field phone calls for the C-Suite Leader
- Prepare agendas for ongoing meetings as required
- Facilitate weekly L10 meetings and coordinate relevant updates in Ninety.io software
- Serve as critical partner to cross-functional teams for various questions, inquiries, tasks, or requests for assistance
- Schedule and manage travel and related expense reports
- Be responsible for client service-related tasks
- Reach out to clients to schedule meetings and reviews
- Plan occasional client events and seminars
- Coordinate on-site meetings with strategic partners
- Compile data to produce business reports and periodic reviews
- Coordinate and prepare materials for quarterly and annual strategic planning meetings
- Act as department point of contact for vendor invoicing between third parties and Accounts Payable
- Other duties and projects as assigned
- Ability to maintain confidentiality and exercise discretion
- Proficiency in MS Outlook, MS Excel, MS Word and MS Power-point
- Ability to follow written and oral instructions
- Exhibit professional phone demeanor
- You must also possess good organizational skills, efficiency skills, and communication skills, both verbal and written

- College degree and/or industry experience preferred.
- 3 years supporting C- Suite Leaders

OTHER DUTIES:
- Ability to sit at a computer for long periods of time in office environment well lit.
- Ability to lift up to 20 pounds.
- Position is located in Austin, TX office. Must be able to work in the office during scheduled work hours.
