Position Summary
The Assistant Property Manager is responsible for effectively computing, classifying, and recording numerical data to keep financial records complete while assisting with leasing, marketing, and resident relations for the community. This role requires strong written and verbal communication skills, attention to detail, and follow-through to ensure all tasks are completed accurately and efficiently.
Key Responsibilities
Administrative Duties
• Operate accounting and management software (Yardi) to record, store, and analyze information.
• Accept and post rental payments, ensuring correct amounts are recorded.
• Work with the Property Manager to ensure accurate ledgers and investigate discrepancies.
• Monitor renewals and annual resident re-certifications; submit required information to compliance within necessary timelines.
• Submit information for EIV (Enterprise Income Verification) reports (if applicable).
• Create lease violation notices, including late letters.
• Schedule unit turns and ensure units are prepared for move-ins.
• Process resident move-out paperwork and coordinate move-out inspections.
• Post market rents and monthly rents using Yardi reports; verify information and ensure accurate postings.
• Generate and distribute regular reports, including the Unit Availability Report and Staff Huddle Report (Monday, Wednesday, Friday).
Leasing Duties
• Provide exceptional customer service to prospective and current residents.
• Process applications, conduct background checks, and verify prior rental history.
• Ensure all new resident paperwork is signed, and monies are collected before move-ins.
• Update the Unit Availability Report in Yardi and ensure move-in readiness for new residents.
• Orient new residents to the community and ensure a seamless transition.
• Distribute company or community notices to residents.
Resident Retention
• Participate in resident events and activities as directed by the Property Manager.
• Follow up with residents weekly to ensure satisfaction with completed service requests.
• Maintain the cleanliness and curb appeal of the community.
• Enforce community policies professionally and effectively.
• Address residents concerns promptly and connect them to resources when needed.
Property Operations
• Coordinate pre-move-out inspections with contractors and send scheduling letters to residents.
• Work with maintenance staff to ensure all units meet safety and habitability standards.
• Maintain communication with vendors (landscaping, HVAC, plumbers, electricians) for repairs and services.
• Oversee maintenance supply orders and truck maintenance scheduling.
• Track work orders and ensure timely completion.
Neighborhood Marketing
• Assist in placing and updating community signage and banners.
• Promote the opening of the waitlist through appropriate and targeted channels.
Safety Responsibilities
• Ensure compliance with company, local, state, and federal safety rules.
• Immediately notify the Property Manager of unsafe conditions.

Qualifications
• High school diploma or GED required; 2–4 years of property management experience required.
• Professional image, attitude, and demeanor.
• Experience in LIHTC, Section 8, and conventional property management required.
• Fair Housing Certification or willingness to obtain before interacting with prospective residents.
• Proficiency in Yardi software and Microsoft Office Suite.
• Desired certifications: COS, HCCP, C3P, SCHM.
• Basic knowledge of accounting and budgeting.
• Strong organizational and time-management skills.
• Strong leadership skills.
• Valid driver’s license required.
Supervision
The Assistant Property Manager reports directly to the Property Manager.
