We are seeking a highly organized and personable individual to join our team as a Receptionist / Escrow Assistant. This dual role is crucial in creating a positive first impression and supporting our escrow officers in the smooth processing of real estate transactions.
Job Summary:
The Receptionist / Escrow Assistant will be the face of our company, responsible for managing the front desk and providing administrative support to the escrow team. This position requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities:
Reception Duties:
- Greet and welcome clients and visitors in a professional and friendly manner.
- Answer and direct phone calls, taking accurate messages and routing them appropriately.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain a clean and organized reception area.
- Schedule appointments and manage conference room bookings.
- Provide general administrative support, including photocopying, scanning, and filing.
Escrow Assistant Duties:
- Assist escrow officers in the preparation and processing of escrow documents.
- Open and maintain escrow files, ensuring accuracy and completeness.
- Order and track title reports, loan documents, and other necessary paperwork.
- Communicate with clients, lenders, real estate agents, and other parties involved in the transaction.
- Assist in the disbursement of funds and the closing process.
- Maintain and update electronic and physical filing systems.
- Assist with data entry and document preparation.
- Assist in the preparation of closing packages.
- Other administrative duties as assigned by the Escrow team.
Qualifications:
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Minimum of 1-2 years of experience in a receptionist or administrative role, preferably in the real estate or escrow industry.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication, interpersonal, and customer service skills.
- Strong organizational and time management skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Attention to detail and accuracy.
- Ability to maintain confidentiality.
- Knowledge of real estate and escrow processes is a plus.
- Ability to learn and adapt to new software and technology.
