SUMMARY:

Assists in all human resources duties and responsibilities. The individual chosen must possess excellent communication skills both written and verbal. You should also have experience with personnel paperwork and human resources systems. Schedules and verifies orientation, safety and compliance training for all employees. Assists with the secretarial, clerical and administrative support from within the Human Resources Department. Assists with various aspects of all personnel paperwork, compliance paperwork, filing, scanning, etc., under the direct supervision of the Human Resources Manager.

Other duties include administrative support for the business office and organizational needs. An important part of this role will include communication, confidentiality, and organization.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  1. Front and back office duties, to include reception and public contact
  2. Special Projects for the HR department and the overall organization
  3. Scan, file, and maintain all personnel files and other records
  4. Heavy computer usage including all Microsoft office products and proprietary programs
  5. Updating databases, policies, procedures, job descriptions, as well as other projects
  6. Ensuring paperwork is completed and processed through a check lists
  7. Scanning, uploading, and filing of all personnel forms/documents (soft and hard copies)
  8. Assists HR with, but is not limited to the following:
    1. inputs data/information into a proprietary HR system called iSolved, iLearn, and iHire
    2. may assist with background screening, to include fingerprints and references checks
    3. assures that all required documentation are scanned into ISolve and in the employee file
    4. assist with employee relations, employee recognition projects, reporting projects, and others
    5. Strong communications through personal contact or emails while updating all data on projects
  9. Updates employee training and personnel files that meet record keeping and confidentiality requirements in hard copy files and in iSolved
  10. Prints/distributes employee "event" to department heads, like reminders, anniversaries, or birthdays.
  11. Assists with other coverages needed, with projects, typing, shredding, and other duties
  12. Performs other duties as required or assigned by the Human Resources Manager.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED); Must have a minimum 1 year experience in human resources and administrative support. Preferred 2 years of experience in Human Resources. Preferred 2 years of experience in administrative role.

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write trainings, presentations, routine reports, and correspondence. Ability to speak effectively one on one, in a classroom, to all levels of public/customers or employees of organization.

OTHER SKILLS AND ABILITIES:

  • PC literacy and experience with MS Office applications
  • Knowledge of iSolved or other HCM/HR systems helpful
  • Excellent verbal and written communication skills for in person, on the phone, or through electronic communications with multiple types of individuals
  • Strong organizational skills to include filing both electronic and paper for auditing
  • Ability to set work priorities based on work load and urgencies; works well under pressure
  • Ability to work with multiple departments and deadlines while communicating any issues that may cause deadlines not to be met
  • Ability to deal courteously, tactfully and efficiently with clients, staff members, management and the public

While performing the duties of this job, the employee is regularly required to stand, sit, and talk or hear. The employee must frequently life and/or move up to 10 pounds and occasionally life and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision and ability to focus.
