Status
Summary
The General Affairs Administrator is responsible for General Affairs (GA) department billing associated with programs, including POs, invoice processing and budget tracking. This role will manage the company mobile communication program and provide support to team members as needed. The Administrator will work closely with the Corporate Administration Manager to project manage Corporate Events, team meetings, and other ad hoc meeting requests. The Administrator will manage the company travel program (with vendor partner, Egencia), provide support with departmental budget, assist with RFP processes, and collaborate with the HR team for new hire on-boarding, as needed, including responsibility in working with HR on tracking Autoever/ESM team member GA related changes. The Administrator will assist with managing all GA vendors, including the Café, the gym, and the mailroom.
Major Responsibilities
1st Priority - 35%
Departmental budget tracking: Process all mobile, travel, and event related invoices in a timely manner; maintain and compile multiple reports for department’s various accounts and monthly budget analysis and accruals. PA creation for department expenses. Monthly credit card reconciliation.
2nd Priority - 20%
Travel program management: Manage vendor (Egencia) and oversee contract negotiations on behalf of KUS. Work with team members on troubleshooting and best practices as needed.
3rd Priority - 20%
KUS mobile communication program: Manage vendor and oversee contract negotiations on behalf of KUS with AutoEver. Manage the distribution of mobile program app and telephone calling/videoconferencing. Troubleshoot problems with equipment and/or service. Monitor stipend plans and stay on trend with industry best practices. Spearhead new technology initiatives (e.g., BYOD program).
4th Priority - 10%
Event Planning: Assist with the project management and coordination of Corporate Events and Team Member meetings, including but not limited to planning, vendor and contractor management, budgeting, and execution.
5th Priority - 15%
Ad Hoc: Assist with other projects related to insurance, the KUS gym, Kia Café, breakrooms and breakroom supplies, subscription management, office supplies, asset tracking, team member changes, company-wide condolence gifts, managing Adobe Sign, support Facilities team as needed, and regional & Technical Training Center support as required.
Education/Certification
- Bachelor’s degree or equivalent work experience in office administration and/or office management required.
Overall Experience
- Minimum 3-5 years office support/business administration responsibilities required.
- Finance and project management background required.
- Working knowledge of mobile device usage preferred.
- Vendor management and contracts administration desired.
Directly Related Experience
- Excellent communication skills, both oral and written.
- Strong customer service skills.
- Ability to work with others, across departmental lines including high-level leaders, to organize, maintain and control the various tasks assigned.

Pay Range
$57,428.00 - $74,679.00
Pay will be based on several variables that are unique to each candidate, including but not limited to, job-related skills, experience, relevant education or training, etc.
