Job Summary:
The Ocean Course Cottage Operations Manager is someone who is responsible for the overall cleaning, maintenance, and upkeep of the Ocean Course Cottages as well as the in-house Cottage Guest experience. The position is based at the Ocean Course. It is a “hands on” management role, often completing the cleaning of the properties and delivery of the F&B personally. In order to ensure that all Cottage Guests’ expectations are met or exceeded, they will collaborate consistently with the reservation and preplanning team. They will work closely with the both Golf and F&B teams to assure continuity of the guest service. They oversee the hourly cottage cleaners including the duties of cleaning the Ocean Course Clubhouse as needed.

Job Summary:

Responsibilities & Skills:
- Maintain a master calendar of all Cottage arrivals and assure BEO completeness and accuracy two weeks prior to arrival (as bookings allow) and distribute as needed
- Route the most current resume for each group to the necessary service teams the day prior to arrival noting any changes or special requests
- Fulfill any guest pre-orders and ensure that all pre-ordered food, beverage and other items are stocked for guests and in place prior to arrival
- Schedule inspections as close to arrival as feasible to allow for corrections
- Perform the on-site meet and greet of each guest: provide acclimation tour of cottage and services, review of their customized itinerary and follow up on any initial requests or changes (have a detailed plan for who does this on days off)
- Maintain daily communication with in-house cottage guests and fully execute any changes as they occur during the stay
- Assign and confirm completion of daily cleaning and F&B delivery
- Inspect and secure cottages immediately following each departure – address any guest damage at that time
- Schedule cleaning as close to departure as possible
- WEEKLY
- Order all supplies for the Cottages including but not limited to housekeeping, guest supplies, linen & terry, and housewares
- Schedule staff and prioritize cottage and club house cleaning including any special projects needed that week
- Inspect cleaning of cottages and clubhouse
- Handle lost and found items – ship back to guests as needed
- MONTHLY
- Order outside services, as needed, such as window washing
- Perform Maintenance and Landscaping inspection – schedule repairs as needed
- Maintain all storage areas & equipment – to confirm functionality and appropriate par levels
- ONGOING
- Hire and train hourly cottage cleaning staff
- Inventory & order logo items – bathmats, robes, glasses, shirt stock of sizes not carried in the Golf Shops etc. and have logo’d
- Maintain SOP’s and distribute and trains staff to comply
- Exercise strong time management skills – during high occupancy, manage the workload to maximize efficiency and during low occupancy to protect the labor budget
- MISCELLANEOUS SKILLS
- Ability to focus and conscientiously follow through on details
- Ability to actively listen and appropriately respond to guests inquiries and complaints, always remaining composed and courteous
- Ability to work well under pressure and in circumstances of change, making quick and appropriate decisions
- Ability to address multiple tasks simultaneously, maintaining control and organization
- Uphold the core values and policies & procedures of the resort.
- All other duties, as assigned.
- Minimum Education –High school diploma, or equivalent GED, required. College degree preferred
- Minimum Experience – Hospitality management education, or at least one year of hospitality supervisory experience, preferred.
- Excellent telephone, interpersonal and organizational skills required
- Must possess a passion for providing extraordinary service.
- Excellent communication skills in English, both verbal and written, required.
- Excellent organization habits, conflict resolution skills, professional and cooperative demeanor required.
- Must be able to work both independently and in a team environment.
- Must be able to pass a background check.
- Must possess a valid driver’s license with clean driving record, and have own transportation to and from the resort. Ability to handle confidential information.
- Must be able to lift minimum weight of 40 lbs. across short-medium distances.
- Must be able to sit / stand for the majority of shift while reaching, bending and stooping.
- Must be able to work on site due to daily needs of the job requirements.
- Must be able to work in a fast paced, intense outdoor work environment, sometimes under extreme heat and stress.
