What are the responsibilities and job description for the Payroll Specialist position at Kickapoo Tribe of Oklahoma?
This position organizationally falls under the Finance Director of the Kickapoo Tribe of Oklahoma. Operational hours are Monday through Friday, 8:00 am to 5:00 pm, or as needed to address the centralized Finance function(s) of the Tribes programs and services. The purpose of this position is to perform those duties necessary to process payroll, including maintaining related records, filing tax reports and voluntary deduction reports, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for management.
Essential Duties, Functions, and Responsibilities
Tasks are as follows, but not limited to:
- Uses computer terminal to input data from the adjustment sheets, deduction updates, cancelled checks, advances, refunds, and final settlement reports into the system.
- Prepare regular payroll and special payrolls as needed.
- Prepares special checks for payroll advance payments, refunds, and final settlements.
- Reviews payroll for accuracy.
- Prepares corrections for errors, document adjustments, and enters data into the system.
- Reviews tax deductions for specified exemptions.
- Balances batch inputs and corrections to payrolls.
- Prepares GL import file.
- Maintain Payroll records.
- Prepares benefits invoices for A/P.
- Process 401K payments.
- Maintain Labor Allocation Tables/assignments in payroll system.
- Performs other duties assigned.
Must be self-motivated and be able to work with little or no supervision. A supervisor will make periodic visual inspections of the assigned areas, as well as accepting reports from other staff members.
Prompt and daily attendance is of utmost importance; failure to be on the job not only disrupts the smooth functioning of the employee’s own job but also inconveniences the other interrelated jobs. The success of an employee depends on large measures on how well the job is done each day.

MINIMUM MANDATORY QUALIFICATIONS
Education and Experience:
Associate’s degree or at least three years of progressive experience in payroll administration is preferred.
Equivalent combinations of education and experience that provide the required knowledge, skills, and abilities will be evaluated on an individual basis.
Additional Qualifications
- Must have knowledge of basic accounting methods, principles, and practices, payroll functions and basic arithmetic.
- Ability to operate a calculator and operate computer terminal.
- Ability to balance and audit accounting information.
- Must be able to read, post, and verify data.
- Ability to perform simple arithmetical computations and tabulate figures with speed and accuracy.
- Must be able to proofread work and indentify errors as well as write legible.
- Ability to follow oral and written instructions.
- Basic computer skills required with emphasis of knowledge of MS Office.
- Must maintain a high level of confidentiality.
- Ability to interact with tribal members, government employees, and the general public.
- Must have telephone etiquette, a good personality, compassion, patience with tribal members and the public.

Physical: Physical effort requiring sitting for prolonged periods of time performing repetitive work at the computer. Some bending, stretching, and lifting.
