Job Summary:
Kid Gloves is seeking a highly organized and detail-oriented Administrative Assistant to support daily operations and ensure smooth communication between clients, team members, and management. This role is essential in handling customer inquiries, scheduling, data entry, and follow-ups while providing excellent customer service. The ideal candidate will be proactive, adaptable, and comfortable managing multiple responsibilities in a fast-paced environment.
Key Responsibilities:
- Phone & Message Management: Answer incoming calls, take detailed messages, and direct inquiries to the appropriate team members.
- Trip Scheduling Support: Assist in coordinating and organizing long-haul moving schedules to ensure efficiency and smooth operations.
- Client Communication: Act as a primary point of contact for interior design clients, addressing inquiries and providing updates on their projects.
- Estimating Assistance: Support the team in preparing and reviewing estimates for moving and storage services.
- Lead & Inquiry Follow-Ups: Follow up on leads, messages, and email inquiries to ensure timely responses and customer satisfaction.
- Data Entry & Organization: Accurately enter and maintain data in company software, including customer details, trip schedules, and inventory records.
- General Office Support: Assist with administrative tasks such as filing, document preparation, and other tasks as needed.
Qualifications & Skills:
- Previous administrative, customer service, or office experience preferred.
- Strong communication and interpersonal skills.
- Excellent attention to detail and organizational abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and data entry software.
- Ability to multitask and manage priorities in a fast-paced environment.
- Experience in scheduling or logistics is a plus.
- Professional and friendly demeanor with a strong customer service mindset.
Work Environment & Physical Requirements:
- Office-based position with occasional interaction in the warehouse or with moving crews.
- Frequent use of a computer, phone, and office equipment.
- Ability to sit, stand, and move around as needed during the workday.
