About Us: Kidsense Therapy Group in Danbury is seeking a Front Desk Receptionist to join our fast-paced therapy practice with high call volume. We are looking for a dependable, hardworking individual who is team-oriented, friendly, and trustworthy, as well as eager to learn.

Job Description: As a Front Desk Receptionist at Kidsense Therapy Group, you will be the first point of contact for our clients. Your primary responsibilities include managing phone calls, scheduling appointments, and maintaining client records with a high level of professionalism and confidentiality.

Key Responsibilities:

  • Monitor and respond to voicemail, email, and client inquiries; document in the EMR system.
  • Answer phones and track cancellations; inform families and reschedule appointments.
  • Schedule clients for the current week, prioritize therapists with the most openings, and fill therapist slots each day.
  • Send appointment reminders and check clients in/out, ensuring all necessary information is updated.
  • Update client charts accurately and add potential clients to the referral tracker.
  • Ensure all documentation is received for sessions and address therapist follow-ups/requests.
  • Maintain communication logs and update the Patient Priority Wait List.
  • Follow up on referrals and review attendance of active clients.
  • Provide excusal notes and handle advanced scheduling duties, including building new therapist schedules and processing time off.
  • Manage clinic and school closures, ensuring schedules are maximized.
  • Convert referrals to evaluations and update the waitlist weekly.
  • Report scheduling stats to the Clinic Manager and act as a liaison between clients and clinicians.
  • Send and document correspondence, update EMR systems, and coordinate with billing and client care.

Qualifications:

Qualifications
- Medical administrative support, patient service, and office experience are essential core skills for this role. Proficiency in medical office operations, and EMR systems is highly valued. Knowledge of HIPAA regulations, medical terminology, and experience with multi-line phone systems are also beneficial. Familiarity with insurance terminology and clinic operations is a plus.

  • Mon-Thurs 3-7
  • Fri 8-1
