Job Description : We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will have at least three years of professional administrative experience and a proven ability to manage multiple tasks in a fast-paced environment.

Duties and Responsibilities include :

  • Responsible for overseeing the daily operations of the office.
  • Assist in the preparation of reports, presentations, and correspondence.
  • Assist with project admin support such as setting up purchase orders and vendors accounts.
  • Coordinate meetings, including booking meeting rooms, preparing agendas, and taking meeting minutes.
  • Handle incoming and outgoing communication, including phone calls, emails, and mail.
  • Maintain organized records and filing systems for documents and information.
  • Monitor and order office supplies, ensuring inventory levels are adequate.
  • Assist with planning and coordinating company events, travel arrangements, and logistics.
  • Responsible for welcoming visitors, maintaining logs and manage vendors.
  • Provide excellent customer service to internal and external stakeholders.
  • Other duties as assigned by supervisor.
  • Minimum Requirements :

  • A minimum of 3 years of experience in an administrative or similar role.
  • Bachelor's degree preferred; equivalent work experience considered.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • High level of discretion and confidentiality.
  • Ability to work independently and collaboratively in a team environment.
  • Attention to detail and problem-solving skills.
  • Construction industry background / experience preferred.
  • Work Environment :

  • Office-based position with standard working hours.
  • Occasional overtime or flexibility may be required.
