What are the responsibilities and job description for the Contract Administrator - Commercial Contracts position at Kinder Morgan?
Primary purpose:
The Contract Coordinator position is responsible for supporting the Commercial Group within the Lower Rive Region (Louisiana/Florida) in regard to Contract management.
This position can be officed in the Harvey, LA Terminal depending on candidate location.
Duties include but are not limited to the following:
- Assist commercial account managers with maintaining customer documents, primarily contracts, in a centralized document repository. (SharePoint site)
- Assist the regional commercial director, account managers and accounting personnel with correctly completing workflow tasks on contract documents in a timely manner.
- Initiate workflows on contract documents and monitor progress.
- Coordinate contract execution by obtaining appropriate signatures from both Kinder Morgan and the customer.
- Maintain copies of all designated Customer contracts, TSA's and/or MSA's as applicable, ensuring that Customer contracts are scanned into the appropriate database(s) and/or shared filing/information system(s) as well as provided to each Terminal manager with originals sent to corporate.
- Set up a flagging system for Contract terminations and renewals to allow sufficient time in advance to undergo renewal discussions.
- Manage Contract renewals, working with the appropriate sales manager(s) and regional accounting managers to ensure compliance with Sarbanes Oxley.
- Work with regional Commercial Director to assist in standardizing Customer contracts and/or letter agreements.
- On multi-year agreements, manage customer escalations (rate, fuel, etc.) for each applicable business unit and communicate escalations to the appropriate sales manager(s), regional accounting manager and Terminal manager as applicable.
- Develop and maintain standard handling rate sheets for each Terminal, updating as needed and directed by the Commercial Team.
- Similarly manage and maintain other agreements not specific to a Customer such as Port, land, and river batture leases.
- Work closely with and act as a resource to sales managers and terminal managers.
- Participate in bi-weekly sales calls and provide updates on contract records and outstanding legal items.
- Assist the commercial team in reporting on and collecting accounts receivable.
- Update and distribute weekly Regional Commercial logs and biweekly company-wide commercial logs.
- All other duties as assigned.
Position Requirements
Education:
- High School Diploma
- College degree or equivalent experience desired.
Experience / specific knowledge:
- Advanced computer skills with all Microsoft office products and advanced proficiency with Microsoft Word and Excel. (SharePoint a plus)
- Two or more years’ experience in managing documents in a legal or business environment.
- Experience with imaging of documents and electronic filing; proficient in working with databases.
- Knowledgeable in contract terminology and concepts. (i.e., assignments, subleases, amendments, indemnification, limit to liability, etc.)
Certifications, licenses, registrations:
- Valid Driver’s license.

Working conditions:
- Basic office environment.
- Minimal travel will be required specifically to regional terminals.
- Must be willing to work overtime, weekends and holidays as needed and required.
