Organizational Overview
The King County Regional Homelessness Authority (KCRHA) is an administrative agency that oversees homelessness-related programs and funding in the Seattle-King County region. Created by an interlocal agreement between the City of Seattle and King County in 2019, KCRHA is responsible for unifying and coordinating the homelessness response system across our large and diverse region. KCRHA works with a wide range of stakeholders, focusing on continuous improvement across the system, centering on lived experience, meeting the needs of people experiencing homelessness, and making the most effective use of public funds. Our mission is to significantly decrease homelessness throughout King County, using equity and social justice principles. We are currently seeking skilled leaders at all levels.
Team Overview
The Finance Division ensures sound financial management and strategic resource allocation to support KCRHAs mission to end homelessness. This Division is responsible for budget development, financial reporting, grant management, and compliance, providing critical financial insight for strategic planning.
Role Description
The Salesforce and Financial Systems Administrator will oversee the functional and technical aspects of our Salesforce and financial systems platforms, with a focus on Grants Management. The role involves configuration, customization, and maintenance of Salesforce applications, ensuring optimal system performance. The ideal candidate will be a certified Salesforce Administrator who can work independently and lead initiatives to improve system efficiency and user adoption.
Accountabilities
System Administration and Maintenance
- Perform routine system administration tasks, including user setup, security configurations, and data integrity checks.
- Troubleshoot and resolve system issues, providing technical support to staff.
- Implement and manage system upgrades, enhancements, and new releases.
- Functional Analysis and Customization
- Gather and document business requirements, translating them into technical specifications.
- Design and develop customized Salesforce solutions to meet the agencys needs.
- Develop and maintain reports, dashboards, and workflows to support Grants Management processes.
Training and User Support
- Provide training and support to staff on Salesforce functionalities and best practices.
- Develop training materials and user guides to enhance system utilization.
- Offer continuous support to non-tech-savvy staff, ensuring they can effectively use the system.
Project Management
- Lead and participate in projects related to Salesforce and Grants Management.
- Collaborate with cross-functional teams to implement system changes and process improvements.
- Monitor project progress, ensuring timely completion and alignment with agency goals.
Additional Job Duties
- Partner closely with staff and contracted providers to gather, define, map, refine, and translate complex business rules and system requirements into functional specifications. Seek opportunities to make procurement, contracting, and invoice submission processes more efficient and accessible to end users.
- Serve as the business expert in the configured system. Maintain data tables, configure new workflows and functionality, and stay abreast of product changes. Facilitate complex system changes and assess potential impacts of proposed configuration changes.
- Develop and maintain training materials and events for multiple end-user groups; provide ongoing technical assistance and develop approaches to build users' skills and ability to self-resolve technical questions.
- Ensure the system is well-documented and develop plans for sustainability.
- Act as a liaison between the business and IT staff, ensuring the agency's needs and preferences are understood and met.
- Monitor system functionality. Troubleshoot, track, resolve, and document significant system problems and issues requiring advanced technical expertise. Act as a technical expert in solving referred issues from less experienced staff.
- Perform other related duties as assigned.
Minimum Requirements
- Fluency in equity and racial justice concepts and language, understanding their privilege and power, and can bring equity impact analysis to life in the context of their tasks.
- Certified Salesforce Administrator.
- Proven experience in Salesforce administration, preferably within a public agency or non-profit environment.
- Strong knowledge of Salesforce platform capabilities, including configuration, customization, and integration.
- Excellent problem-solving skills and ability to troubleshoot technical issues.
- Effective communication skills, both verbal and written, with the ability to train and support diverse staff members.
- Strong organizational and project management skills, with the ability to handle multiple priorities in a fast-paced environment.
Additional Requirements
- Proficient knowledge in Conga
- Experience learning, documenting, and continually improving business workflows and processes.
- Advanced understanding of relational databases, automated systems data modules, table relationships, and views.
- Skill in interpreting complex instructional manuals, guidelines, and procedures.
- Proficiency with common desktop workflow tools, including but not limited to Office 365: Word, SharePoint, Teams, Excel, PowerPoint, and Visio.
- Demonstrated experience developing training materials and providing training and technical assistance to non-technical staff.
- Strong problem-solving and interpersonal skills, including the ability to establish and maintain good working relationships with diverse teams and stakeholders.
- Ability to translate between technical and business language and serve as an effective liaison between workgroups.
- Skill in analytical thinking, problem solving, resolving conflicts, and bringing others to consensus.
- Strong project management skills and experience--ability to break down complex projects into smaller tasks, develop realistic timelines, and track and manage progress.
- Skill in handling multiple competing priorities and producing quality detailed work within tight timeframes.
