King County Sheriff's Office has an opportunity for the position of Administrative Specialist II. This classification performs a wide variety of office support and clerical duties and activities in support of an assigned department or functional area, providing a high level of customer service to the public and internal staff.
  
Currently, there are vacancies in Downtown Seattle and other locations throughout King County.    

WORK SCHEDULE: This full-time, Civil Service position is overtime eligible.  The standard hours are 40 per week, 8:00 AM – 5:00 PM, Monday through Friday.  Additional hours may be necessary to respond to workload needs, which may include evenings and weekendsAdministrative Specialist II's perform a series of technical office support work under general supervision. Specific requirements and responsibilities may vary between different King County Sheriff's Office (KCSO) work units and/or locations. The responsibilities and functions of the Administrative Specialist II classification include but are not limited to the following duties:
  
  •    Provide front line customer service to the public over the telephone, in writing and/or in person on matters that may be technical, complex or sensitive in nature.
  •    Assist KCSO staff with requests for information and/or special administrative projects.    
  •    Obtain, verify and maintain data and information; making sure proper storage and dissemination of information is followed. Data and information will be found through various sources, such as physical and electronic records, maps, contracts, microfilm, spreadsheets and database applications.
  •    Ensure the appropriate disposition of evidence and/or exhibits follow clearly established defined methods and guidelines.
  •    Oversee the use and distribution of supplies and equipment; maintain, inventory, order, collect and distribute appropriately.
  •    Compose, draft, proofread and/or edit documents, contracts, and/or correspondence to ensure established procedures and appropriate standards of writing are met.  
  •    Respond and process mail appropriately. Identify priority and/or time-sensitive matters and maintain security and confidentiality.
  •    Schedule meetings and maintain calendars for supervisor and/or organizational unit/program; may take meeting minutes.
  •    May perform light to moderate mathmatical calculations related to expenditures and/or budgets.
  •    Maintain processes and procedures related to assigned work and make recommendations for process improvements.

This position requires skill in supporting an operational department/unit with a wide variety of administrative and clerical duties. Candidates need to have a minimum of one (1) year of demonstrated administrative support and office experience in the following areas:
 
  •    Strong communication and interpersonal skills with the ability to provide program-specific information such as rules, regulations and policies; to customers via in-person, telephone, or written communications, including greeting visitors, screening calls, scheduling meetings, directing and responding to public and internal requests.
  •    Ability to understand and apply rules and regulations related to public disclosure, and information that is confidential and sensitive in nature.
  •    Skilled in providing customer service to a diverse population, both citizens and internal employees. Provide professional written communication and excellent customer service in person and over the phone.
  •    Effectively convey complex information related to rules, regulations and policies verbally and in writing.
  •    Demonstrated proficiency in entering and tracking data; such as; searching, retrieving, logging and filing records from databases, electronic files and hard copy files.
  •    Writing skills sufficient to transcribe, compose, edit and maintain a variety of documents, reports and correspondences using correct spelling, grammar, and punctuation, with the ability to pay close attention to detail and proofread work carefully.
  •    Strong initiative and accountability in tracking work assignments, prioritizing workload, adapting to changes and following through on assignments.
  •    Demonstrated experience in conflict resolution and problem solving techniques to resolve complaints and interpretation of procedures and policies.  
  •    Ability to carry out assignments using standard office equipment such as personal computer, copier, fax, multi-line telephone.
  •    Detailed oriented with great attention to quality and accuracy to accurately enter and track data, perform and verify mathematical calculations, sort and route mail.
  •    Experience with or knowledge of inventory procedures to order and distribute supplies/equipment, knowledge of basic accounting skills.    
  •    Good keyboarding skills with experience using Word, Excel, Outlook and database applications or other relevant software (minimum of 35 WPM).
 
The most competitive candidates will have:

  • At least three years of administrative support experience
  • At least three years of customer service experience
  • Public sector, law enforcement, court, or legal experience

Timeframe: Candidates who meet the application and position qualifications will be asked to self-schedule a technical exam that will be conducted in person. The timeframe and order of this recruitment is provided below.  Please note that dates are subject to change based on resource availability.
 
  •    Early April:  Technical Examination (relevant job skills) in person, in Renton, WA.
  •    Late April: Oral Board Examination
