General Description :
The executive administrative assistant to the Superintendent provides receptionist and secretarial support to the Superintendent and School Board. This position assists with the day-to-day operations of the division as requested by the Superintendent.
Essential Responsibilities :
- Manages the Division Superintendent's office in the completion of all routine and complex administrative tasks and ensures the smooth and efficient operation
- Sets daily priorities and makes independent decisions based on knowledge of the overall functions of the division and the Superintendent's directives
- Maintains the highest level of confidentiality and uses utmost discretion in division and personnel matters at all times
- Compiles the School Board packet, handouts, signatures, other information following each School Board meeting
- Finalizes and files official School Board meeting minutes
- Communicates effectively with Central Office staff, building level staff, community members and other agencies in all school matters
- Prepares agendas, assists in conducting meetings, and coordinates trainings for division clerical staff
- Sets and manages the schedule for the Superintendent
- Screens calls and visitors, answering questions and completing business involving established policy or other matters without referral to the Superintendent whenever possible
- Receives all correspondence for the Division Superintendent and replies to those inquiries not requiring the Division Superintendent's attention
- Screens all correspondence prepared for the Division Superintendent's signature for clarity, completeness of reply, and grammatical and procedural correctness
- Routes matters requiring action to the appropriate leadership team member and provides follow up to ensure resolution
- Arranges conferences and meetings for the Division Superintendent, makes all travel arrangements for the Superintendent
- Attends and records the minutes of meetings; provides summaries, as needed
- Produces correspondence, reports, charts, presentations, and other materials using information management software to enter, edit, print, and file information
- Maintains an organized file system and accurate, accessible records
- Maintains an employee database in conjunction with the Office of Human Resources
- Prepares the School Board Agenda and School Board packets prior to meetings
- Completes any required follow-up to School Board meetings
- Prepares and distributes School Board Disciplinary Hearing letters and maintains Discipline Hearing student files
- Maintains School Board Policy Manual and distributes copies of any policy changes
- Revises and prepares for distribution of Division-wide booklets, pamphlets, and documents as directed by the Superintendent
- Coordinates Division-wide recognition events
- Makes updates to the Division-wide Web page in conjunction with the Office of Technology
- May perform financial duties associated with budget management, purchasing, record-keeping, and reconciliation of financial reports
- Performs related duties as required or assigned
