Job Overview
The Executive Administrative Assistant is responsible for providing administrative and organizational support to ensure the seamless operation of the Global Outreach department. This individual will play a key role in managing schedules, coordinating projects, and facilitating communication to enhance the productivity and efficiency of the department's leadership.
The Executive Administrative Assistant is responsible for providing administrative and organizational support to ensure the seamless operation of the Global Outreach department. This individual will play a key role in managing schedules, coordinating projects, and facilitating communication to enhance the productivity and efficiency of the department's leadership.
Essential Duties and Responsibilities
- Provide comprehensive administrative support to the SDGO, including managing schedules, preparing correspondence, and coordinating meetings.
- Organize and manage calendars, prioritizing meetings and engagements to align with departmental and organizational priorities.
- Serve as the primary point of contact for internal and external communications, ensuring timely responses and professional interactions.
- Schedule, prepare agendas, and take detailed minutes for departmental and cross-departmental meetings. Ensure follow-up on action items.
- Assist in the planning and execution of projects, including tracking progress, managing deadlines, and providing status updates to leadership.
- Arrange domestic and international travel for the SDGO, including flights, accommodations, and itineraries.
- Maintain accurate records, as well as draft and edit documents, presentations, and reports as needed, ensuring the confidentiality and integrity of sensitive information and fostering efficient information retrieval and dissemination.
- Submits information for budget preparation, monitor costs and expenses.
- Support the planning and execution of departmental events, conferences, and outreach activities.
- Represents SDGO in meetings and/or events.
- Maintain organized records and files, ensuring confidentiality and easy accessibility of critical information.
- Undertake special assignments as directed by the SDGO, ensuring timely and high-quality delivery.
- Other duties may be assigned

- Highly proficient in Microsoft Office, Monday.com and other relevant softwares
- Bilingual (English & Spanish)
Education and/or Experience Requirements
- Bachelor's degree in business administration, communications, or a related field is preferred, although equivalent professional experience may be considered.
- At least 3 years of experience in providing high-level administrative support in a fast-paced and dynamic environment.
- Notary certificate a plus.
