Temp. SGN Administrative Assistant



Summary: The Administrative Assistant plays a vital role in supporting the Office Director and Manager by ensuring they stay organized and efficient. This position handles key administrative tasks, allowing leadership to focus on strategic priorities. Responsibilities include managing correspondence, drafting memos, writing and editing emails, and preparing communications on behalf of the Director.

Essential Duties and Responsibilities include the following.
  • Manage and direct incoming calls and emails, ensuring timely responses and appropriate follow-ups.
  • Coordinate department meetings, including scheduling, preparing agendas, and tracking action items.
  • Maintain and update the department and director’s office calendar to ensure efficient scheduling.
  • Serve as a point of contact for general department inquiries, providing accurate information and assistance.
  • Monitor SGN pastors’ satisfaction by following up on administrative issues and ensuring timely resolution.
  • Draft, proofread, translate, and edit correspondence and department materials.
  • Design graphics using Canva as needed for departmental communications and initiatives.
  • Prepare and organize training materials for SGN leaders.
  • Utilize word processing, spreadsheets, and presentation software for various administrative tasks.
  • Communicate and distribute information to ministers, elders, and relevant departments as required.
  • Assist with data entry for new SGN applications when necessary.
  • Maintain organized storage areas and manage inventory records.
  • Provide support for special projects and departmental initiatives as assigned.
  • Perform general administrative duties, including filing, data entry, and other clerical tasks as needed.

  • Excellent written and verbal communication skills.
  • Strong attention to detail with a high degree of accuracy in data entry.
  • Ability to manage multiple projects effectively while collaborating with team members.
  • Capable of working efficiently under pressure and meeting deadlines.
  • Maintains strict confidentiality in all matters.
  • Committed to delivering exceptional customer service.
  • Strong interpersonal and presentation skills with a professional and approachable demeanor.
  • Proven problem-solving skills with adaptability to changing situations.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to lift and move up to 25 lbs as needed.

Education and/or Experience Requirements
Associate degree (A. A.) or equivalent from two-year College or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
