ACCOUNTING AND OFFICE MANAGER
Classification: Exempt
Reports To: Head of School
Purpose
The purpose of this position is to execute and oversee organizational operations with regard to the school’s financial transactions (reconciling, billing, purchases, refunds, payroll, bookkeeping, etc.), human resources, and office management.
Summary
The Office Manager serves as the chief record-keeper of the school’s finances. This individual initiates and tracks the collection of tuition and fees, incidental charges, and refunds. The Manager will oversee KPA’s financial bookkeeping to ensure that all income and expenses are properly logged, classified, and accounted for. Operations related to Payroll and Human Resources will primarily fall under the purview of the Accounting Manager. Each year, the Manager will assist with an annual audit. Financial Aid applications will be collected and reviewed by the Accounting Manager with oversight from the Head of School. The Manager will prepare financial reports to the Head of School and the School Board as requested. This individual will oversee the school’s major office equipment (e.g., copiers).
Supervision Received and Exercised
The Accounting Manager reports directly to KPA’s Head of School. This individual must exercise judgment that aligns with KPA’s culture, philosophy, education, beliefs, and values.
Work Schedule
This is an exempt 40 hour-per-week, year-round position. In general, the workday is 8:00 a.m. to 4:30 p.m., five days a week (Monday through Friday). However, as an exempt employee, the employee is expected to work beyond the workday to perform duties outlined in the job description and as assigned. During June and July, the workday may be reduced as the workload allows. In addition to holidays, ten days of paid time off is available each year (unused days are not compensated or carried over), pending approval from the Head of School. Time off during holidays may still require checking messages and communicating with staff and families about time sensitive matters. Holidays include Labor Day, Thanksgiving (1 week), Christmas (1 week), New Year’s Eve/Day, Good Friday, Memorial Day, 4th of July.

Essential Requirements
- A disciple of Jesus Christ and as such, one who models a love for God through obedience to His Word; such obedience is evidenced through convictions, lifestyle, and worldview
- A full and unreserved supporter of KPA’s Statement of Faith, Mission, and Vision
- Degree or diploma in accounting, financing, or some other relevant field
- Solid understanding of accounting principles and practices

Required Skills

Preferred Experience
- Three years’ experience as an office manager, accounting manager, or HR manager for a non-profit Christian ministry
- Familiarity with Quickbooks, ADP, FAST ISM, FACTS, GoCo, JazzHR, or Donorbox
Physical and Mental Requirements
- Close visual acuity for viewing a computer monitor, preparing and analyzing data and figures, transcribing, and reading
- Hearing: ability to perceive sounds at normal speaking levels with or without correction
- Speaking: expressing ideas by means of the spoken word to convey instructions to students, parents, and other employees
- Occasional lifting of 5 to 20 pounds
- Prolonged standing; frequent kneeling/squatting, bending/stooping, pushing/pulling, and twisting as needed for monitoring students and maintaining classroom
- Maintain emotional control under stress
