Key Responsibilities:
- Client Interaction: Greet and welcome clients, visitors, and vendors in a warm and professional manner, directing them to appropriate staff or meeting spaces.
- Phone Management: Answer and route incoming calls promptly and courteously, taking accurate messages and addressing inquiries as needed.
- Conference Room Coordination: Manage conference room bookings, maintain conference room calendars, and ensure rooms are prepared for meetings (e.g., tidying up, setting up equipment).
- Meeting Support: Order lunches and refreshments for meetings, ensuring dietary preferences and budgets are met.
- General Administrative Support: Perform tasks such as data entry, sorting and distributing mail, scanning, copying, and basic file management.
- Attention to Detail: Ensure all administrative duties are completed accurately, from logging client information to maintaining organized records.
- Office Maintenance: Monitor and restock office supplies, coordinate with vendors for deliveries, and keep the reception area clean and presentable.
- Team Assistance: Provide occasional support to attorneys and staff with tasks such as document preparation or scheduling, as directed.
Qualifications:
- Experience: 1-2 years of experience in a receptionist or administrative role; prior experience in a law firm or professional services environment is a plus.
- Communication Skills: Excellent verbal and written communication, with a friendly and professional demeanor.
- Organizational Skills: Strong ability to manage multiple tasks, prioritize effectively, and maintain attention to detail.
- Technical Proficiency: Familiarity with multi-line phone systems, Microsoft Office Suite (Word, Excel, Outlook), and basic office equipment (printers, scanners, etc.).
