What You’ll Do:
As an Accounting & Operations Analyst, you’ll be an important part of our team, assisting the Accounting team with accounts payable, receivable, and reconciliations and partnering with the Media team on timely invoice processing. You’ll also work closely with our Chief Operating Officer on management data analysis — including timesheets, budgets, and financial indicators — to support strategic decision-making.
This is a part-time position (around 24 hours per week, with some flexibility) based in our Novato, CA office. We’re looking for someone who can be in the office at least three days a week, so local candidates only, please.
Responsibilities:
Bookkeeping Support
Training will be provided on the company’s bookkeeping system [FreeAgent] and all accounting procedures.
- Assist with accounts payable, ensuring vendor invoices are cleared on time, saved to Google Drive, and posted in FreeAgent.
- Help with accounts receivable, including credit control and depositing checks remotely and/or at the bank.
- Own key aspects of the month-end close process, including A/P, A/R, general ledger reviews, reconciliations, auditing books against bank statements, and preparing month-end reports.
- Occasional payroll admin support under the direction of the VP, People Operations.
- Help to maintain tracking spreadsheets, and create monthly spend and budget reports, working closely with media colleagues.
- Collaborate with the Senior Director, Accounting to improve processes and uphold financial accuracy.
- Track hosting and domain renewals, issuing invoices and credit memos accordingly.
- Calculate payroll journals for each pay period, and provide analysis to the Senior Director, Accounting.
- Calculate and process the Media Hard Cost journals each month.
- Completing quarter-end and year-end audits. Tackling discrepancies, and proactively investigating, fixing, and reporting any issues.
Management Reporting Analyses
- Update and maintain KPI (key performance indicator) reports such as the Monthly Agency Time report, Agency Fees Forecast, Agency Hours reports and Management Accounts report.
- Create reports and management data analyses - including pivot tables - to help review timesheets, budgets, and financial indicators that inform strategic decision-making.
- Generate hours reports as needed for projects, accounts, and client billing cycles.
- Continuously seek improvements to reporting processes and communications to enhance efficiency and clarity across the agency.
Administrative Support
- Support administrative tasks including ClickUp admin duties, canceling time-off requests, opening/scanning mail, and uploading/shredding documents.
- Purchase office supplies and coordinate office facility needs as requested.
- Perform other administrative duties as assigned.
What You’ll Bring:
- 2–3 years of relevant experience in accounting, operations, or financial administration
- Advanced spreadsheet skills, including proficiency with VLOOKUPs and pivot tables (Google Sheets preferred)
- Exceptional attention to detail and accuracy in data entry and reporting
- Strong organizational and time management skills; able to manage multiple tasks simultaneously and prioritize effectively
- Clear and effective communicator, both written and verbal; proactive with follow-ups
- Critical thinker and problem solver; exercises sound judgment, discretion, and integrity
- Persistent and methodical in resolving issues and following through on tasks
- Friendly, positive, and can-do attitude; eager to contribute to a collaborative team environment
- Comfortable summarizing work progress and proactively flagging risks or blockers to management
- Ability to maintain confidentiality and demonstrate integrity at all times
- Builds and maintains excellent internal relationships; provides helpful, supportive service
- Flexible and adaptable, able to adjust calmly to shifting priorities and goals
- Familiarity with time tracking and payroll platforms (e.g., ClickUp, Paylocity)

Pay Range: $28.00 to $35.00 per hour.
