Position Overview
The Operations Coordinator is responsible for managing the front office of the school and supporting the staff in creating a joyful learning environment. S/he will serve as the first point of contact for any students, families, staff, or visitors in the office. S/he will assist in the implementation and maintenance of clear operational systems that allow the instructional team to focus on teaching and learning. This position is an excellent opportunity for a highly driven self-starter to support a high-performing middle school. The Operations Coordinator reports to the Operations Manager. This is a part-time, non-exempt position.
Duties and Responsibilities
Front Office and Daily Operations
- Welcome and direct visitors according to the school’s sign-in procedure
- Address all office communications, including incoming calls, faxes, files, mail, and deliveries
- Maintain complete and accurate student records in cumulative folders and in PowerSchool
- Place orders for office supplies, student store items, textbooks, and other materials
- Store and administer medication to students as prescribed by the doctor or physician
- Attend first aid training and perform first aid as needed
Student Attendance
- Distribute tardy slips as needed to students at the beginning of the school day
- Make morning calls home to students who are absent, and if needed, coordinate absent students’ homework drop-off and pick-up
- Coordinate daily attendance taking, check records and turn in weekly attendance sheets to Operations Manager for review
- Coordinate parent requests for a student early dismissal according to the school’s dismissal process
Lunch Service
- Receive daily food delivery from the lunch service provider and ensure all food items are in compliance with proper temperatures and packaging
- Prepare kitchen and foodservice line for lunch
- Oversee lunch service and ensure students are taking correct servings
- Track and log students receiving food in MealTime and/or hard copy logs
- Report daily lunch counts and order lunches weekly with the food vendor
Communications
- Help prepare weekly bulletins in English and Spanish to distribute to team & family
- Assist in the preparation of all parent communications, including letters and report cards
Miscellaneous support
- Manage the student store and assist with any school fundraisers
- Help plan and host on-campus and off-campus school events, including student field trips
- Assist team as needed to build a safe, joyful learning environment
- Assist in student recruitment activities, preparing for the enrollment lottery, and coordinating orientation meetings and placement testing for new students
Skills and Qualifications
- High school diploma required
- Spanish fluency preferred
- Demonstrated proficiency with Google Apps
- Experience working in a school or non-profit preferred
- Ability to self-direct, prioritize and multi-task among competing goals
- Demonstrated ability to work well with others and build relationships across teams
- Excellent written and verbal communication skills with keen attention to detail

Salary & Benefits
We benchmark annually against comparably-sized non-profit organizations in the regions where we operate, to offer competitive salaries. The hourly rate for this position is between $20.92 to $24.84
