We are seeking a detail-oriented and creative Proposal Coordinator to join our team. The Proposal Coordinator will be responsible for preparing and coordinating proposals, presentations, and marketing materials to support our business development efforts for Kirby Nagelhout Construction Company and other affiliated companies. This role requires strong organizational skills, attention to detail, and proficiency in graphic design software.

Essential Duties And Responsibilities
The essential functions include, but are not limited to the following:
- Coordinate and prepare proposals, including writing, editing, and formatting content
- Develop and produce SOQs/proposals in Adobe InDesign, including editing and graphics; prepare for digital and/or print reproduction
- Collaborate with project managers, estimators, and other team members to gather necessary information for proposals
- Ensure all proposals are compliant with client requirements and company standards.
- Maintain and update proposal templates and interview presentation materials
- Assist in the creation of presentations as well as other marketing collateral as needed
- Manage proposal deadlines and ensure timely submission
- Conduct research to support proposal development
- Maintain a database of proposal content and past submissions
- Gather research data related to clients; competitors; past, current, and prospective markets
- Support estimating team with information needed for bids
- Monitor online and print sources, including newspapers, magazines, and blogs
- Maintain scheduling and tracking systems for individual pursuit and proposal elements and status
- Identify and monitor SOQ/proposal criteria, ensure response is fully compliant
- Handle production and arrange for on-time delivery of SOQs/proposals
- Gather content from team and consultants as needed
- Track pre-submittal meeting schedules and attendees, identify decision-makers
- Maintain systems to extract, categorize, and retrieve information related to clients, consultants, personnel, projects, prior proposals, boilerplate, visuals, and mailing lists
- Work with business development leaders to help maintain regular client interactions
- Support other Marketing and Business Development efforts as time allows
- Other duties as assigned
- Associate’s or Bachelor’s degree in Marketing, Design, Communications, Business, or related field, plus 2-5 years of experience
- Experience in the AEC industry is a plus.
- Strong attention to detail and efficiency
- Ability to multi-task and meet deadlines
- Customer-oriented approach with a professional demeanor
- Basic understanding of business development principles
- Proficiency in Adobe InDesign, Photoshop, and Illustrator
- Excellent organizational and time management skills
- Ability to work well with diverse personalities and work styles
- Knowledge of software for developing client presentations and communications
- Understanding of SOQ/proposal production, including digital and printing/binding
- Interest in professional development and community-focused organizations (e.g., SMPS, AIA, OAME)
