The temporary employee will assist the chair, faculty, and staff with the administrative and secretarial duties of the department. Responsibilities include aiding with special projects and supporting the with the day to day operations of the department including scheduling, filing, correspondence, front desk attendance, and documenting meeting minutes. This position will represent the department with excellence and upmost professionalism. The organizational goal is to promote excellence and efficiency at all levels within the department and the School of Medicine.
· Attend required meetings and take minutes
· Schedule and record meetings, prepare agendas and manage the calendar of the department chair
· Process faculty time off in Workday and maintain the department time off calendar
· Correspond with internal and external customers on behalf of the department
· Assist in planning department events and travel
· Coordinate candidate interviews and provided feedback to the search committee chair
· Keep records of pediatric community faculty
· Prepare documents for electronic signature
· Procure office supplies
· Maintain and create files, scanning, shredding, copying, faxing and filing
· Attend to the front desk, answer incoming calls, greet guests, accept deliveries and prepare intercompany mail
· Submit work order requests to various support departments
· Inventory department property
· Oversee the accuracy of the department websites
· Other duties as assigned
Requirement: Driver’s license and vehicle
