What are the responsibilities and job description for the Transportation Secretary 1:00pm to 4:30pm position at Kirtland Local School District?
- High school diploma or equivalent.
- Evidence of a clear record as determined by the Bureau of Criminal Identification and Investigation (BCII) and Federal Bureau of Investigation (FBI).
- Evidence of a successful office management experience.
- Proficient in office procedures, protocol, and the use of office equipment.
- Ability to type 60 words per minute.
- Ability to achieve proficiency using transportation software.
- Proficient in the use of computer and word processing software.
- Proficient in bookkeeping procedures and the compilation of statistical data.
- Responsible for typing correspondence, reports, and other documents necessary for the transportation director to fulfill his or her duties. Arrange appointments for the transportation director, as directed. Provide secretarial support for the mechanics.
- Acknowledge visitors and determine the reason for the visit. Receive questions and requests and attend to such matters promptly, accurately, and tactfully. Respond to parent inquiries regarding late buses.
- Provide administrative support to facilitate transportation services (e.g., schedule trips, log calls, update medical forms, notify substitutes, arrange drug screening tests, prepare materials, advise drivers of calendar changes and school closing, etc.). Prepare and maintain insurance reports and files.
- Responsible for incoming, outgoing, and interoffice mail, notices, memoranda, directives, etc.
- Prepare and type; requisitions, purchase orders, and invoices, as required.
- Responsible for the maintenance and confidentiality of department personnel files (e.g., applications, references, evaluations, emergency forms, etc.).
- Prepare departmental time sheets. Record employee use of personal leave and vacation time. Track substitute hours.
- Process bus misconduct reports. Notify personnel involved with student conduct issues. Ensure the confidentiality of privileged information.
- Prepare trip reports, field trips, etc.
- Operate all office equipment. Monitor and schedule equipment maintenance, when necessary. Order and maintain an inventory of necessary office supplies.
- Maintain an up-to-date, accurate student transportation file.
- Monitor and operate intercom and/or two-way radio with tact and procedural correctness.
- Attend all mandatory meetings and training programs. Participate in professional growth activities, when requested.
- Serve as a role model for students. Demonstrate responsibility, citizenship, respect, and courtesy.
- Perform other duties, as directed.
- Ability to lift, carry, or move equipment or supplies weighing up to twenty pounds.
- Ability to move freely throughout the building.
- Ability to handle and manipulate office equipment that may require speed, manual dexterity, clerical accuracy, and repetitive motions.
- Ability to accurately discern detail in written, statistical, and tabular materials.
