We are looking for a dedicated Operations and Systems Customer Service Representative to join our team and support our clients with professionalism, efficiency, and accuracy.
The Operations and Systems Customer Service Representative is responsible for maintaining high standards of service and responsiveness, ensuring the timely resolution of customer needs, processing claims and insurance payments, and handling administrative duties. This role requires collaboration with various departments to ensure seamless service delivery.
Key Responsibilities:

Customer Service & Resolution:
- Prioritize and address customer requests promptly.
- Collaborate with internal departments to resolve client inquiries.
- Ensure a high level of service and client satisfaction.

Claims Processing & Tracking:
- Process and track all claims and related activities.
- Respond to customer inquiries and coordinate with adjusters as needed.
- Report claims to carriers when required.
- Follow up with clients to ensure claim resolution.

Insurance Payments Processing:
- Receive and upload insurance payments to respective carriers.
- Maintain accurate financial records, including daily direct bill spreadsheets.
- Balance cash drawers and prepare daily deposits.

Policy & Document Management:
- Process policy changes from clients, financial institutions, and auto dealers.
- Generate and send necessary documents and correspondence.
- Maintain and review daily policy activity.

Reporting & Monitoring:
- Monitor and respond to system-generated reports, including Missed Expiration Reports, New Business Reports, and Late Pay Reports.

Administrative Support:
- Answer phone calls and distribute mail and emails.
- Maintain organized electronic files following agency standards.
- Provide administrative support to the Innovation Manager.
Qualifications & Skills:
- Full knowledge of insurance products and industry practices preferred.
- Excellent communication, organizational, and customer service skills.
- Proficiency in using agency management systems and related software.
- Strong attention to detail and ability to multitask.
- Basic math skills and financial transaction processing experience.
- Minimum two years of experience in a related position.
Work Environment & Physical Requirements:
- Office-based role with a largely sedentary workload.
- Moderate standing, walking, bending, and reaching may be required.
- Occasional lifting of up to 20 pounds.
