Job Summary
The Associate Registrar works with the Registrar to coordinate academic record keeping, Student Services functions, and related operational procedures; responsible for assisting the Registrar and Records Analyst in development and implementation of academic policies related to student admissions, records, and registration in the absence of the Registrar and ensures compliance with Federal, State, and institutional rules and regulations.

Required Qualifications
- Bachelor’s degree
- Minimum of three years’ experience in admissions, records, or office management.
- Minimum of intermediate ability in Microsoft Word, Outlook, and Excel.
Preferred Qualifications
- Higher Education Enrollment Services experience.
- Experience with Ellucian Colleague or another Student Information System.
- Previous Management Experience.

- Ensure department procedures are accurate and in compliance with US Department of Education and Illinois Community College Board standards district-wide.
- Assists Registrar with maintenance of Student Services web pages, calendars, dates and deadlines, schedules, and the academic catalog.
- Assists Registrar with development and implementation of Student Services processes and policies.
- Administers FERPA compliance procedures and leads FERPA training for college employees, in the absence of the Registrar.
- Works closely with the Registrar to manage student records, document storage and database integrity.
- Assist Registrar with college software development and enhancements for Student Services.
- Assists Registrar with researching and developing new Student Services initiatives.
- Assist Record Analyst with transcript evaluation procedures by performing college transfer credit evaluation district-wide, including accurate processing of military transcripts, non-traditional tests for credit, and department proficiency.
- Manage updates of student records as appropriate, such as grading processes and recording course substitutions/waivers/Incomplete grades.
- Assists Records Analyst with performing graduation degree audits for all academic programs offered at the college.
- Assists Registrar and Records Analyst with coordinating of bi-annual the commencement ceremony as needed.
- Works as backup to other areas within Student Services as needed.
- Trains new staff as requested by the Registrar.
- Performs other job-related duties as assigned by the Registrar.
