Overview
We are looking for an engaging and personable Receptionist & Project Coordinator to be the first point of contact for our showroom. The ideal candidate will not only manage front office tasks but will also support our project teams by coordinating material procurement, scheduling, and maintaining communication with trade partners. This person will play a critical role in creating a positive first impression, ensuring a seamless customer experience, and supporting project success.
Duties
- Greet clients warmly and professionally as they enter the office.
- Manage incoming calls and direct them to the appropriate team members.
- Assist in project coordination by supporting designers and project managers in material procurement and scheduling.
- Communicate project updates to clients, trade partners, and vendors to ensure all parties are aligned. * Understand the scope of ongoing projects to answer client inquiries confidently and accurately.
- Maintain an organized front office and ensure clients are comfortable while waiting.
- Schedule appointments, coordinate project meetings, and manage team calendars.
- Assist with administrative tasks, document management, and order tracking.
Experience
The ideal candidate will possess the following skills:
- Proven experience in a client-facing role, with a preference for experience in project coordination or a related field.
- Excellent verbal and written communication skills.
- Upbeat, confident, and comfortable engaging with diverse clientele.
- Strong organizational and multitasking abilities.
- Experience or familiarity with design or high-end service environments is a plus.
- Ability to learn quickly and keep track of multiple projects and material orders.
