What are the responsibilities and job description for the Secretary- 8 hrs. - District Office position at KLAMATH FALLS CITY SCHOOLS?
Klamath Falls City Schools is seeking candidates who are highly organized, friendly, student-centered, clear communicators, and self-starters to be the next District Office (DO) Secretary. In addition, this position provides backup to the Human Resources Department (HR) and other DO departments.
FUNCTION:
Performs a variety of office duty tasks such as answering the phone, scheduling appointments, photocopying, filing, opening and distributing mail, and other duties necessary to ensure the smooth operation of the District Office and HR Department. Establishes and maintains a positive and effective working relationship with all District staff and the public. Assists the HR staff in day-to-day functions, welcomes visitors to the District Office, and supports the DO Departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- The main point of contact is to answer the District Office's main telephone line and provide information to the public.
- Responds to inquiries or route calls to the appropriate person/department.
- Greets and checks in all District Office visitors, ascertains the nature of the business and directs visitors to the appropriate person/department.
- Oversees the DO mailroom.
- Receives, maintains records, and distributes mail and packages for the District Office, including orders from the Warehouse.
- Monitors shredding containers and processes associated billing.
- Schedules DO conference and board rooms.
- Make decisions independently in accordance with established policy.
- Develop positive working relationships with students, staff, families, and visitors.
- Possess and exhibit an upbeat positive attitude.
- Operates office machines.
- Assists HR customers.
- Assists parents with completing transfer paperwork.
- Provides backup to HR Technician and Confidential Secretary.
- Assists with the volunteer process.
- Files confidential personnel files.
- Keep staff information confidential.
- Schedules and attends monthly District Safety Committee meetings; records and distributes minutes appropriately.
- Schedules and attends quarterly District Wellness Committee meetings; records and distributes minutes appropriately.
- Assists with event planning.
- Supports the Human Resources Department.
- Other duties as assigned.
QUALIFICATION REQUIREMENTS:
To perform this job successfully, an individual must be able to satisfactorily perform each duty.
EDUCATION AND/OR EXPERIENCE:
High School Diploma or General Education Degree (GED) plus five (5) years of secretarial, office management, and/or Human Resources experience.
RATE OF PAY:
- $15.97 - $16.93 per hour DOE
- Generous district contribution to health, dental, and vision insurance.
SCHEDULE:
- 260 Days; 8.0 paid hours per day (with a one-hour unpaid lunch break)
- Work Day is 8 a.m. -5 p.m. M-F
