Basic Job Purpose/Function

Clerical Administrative Assistant III - Public Health - Goldendale, WA. - Full Time, Non-Exempt. Grade 36, Step 1-3, $21.33 - $22.62 /Hr, DOQ, First Review January 10, 2025 . Open until Filled.
The Clerical Administrative Assistant III plays a critical role in ensuring the smooth operation of the Health Department. Their responsibilities include a range of administrative and clerical tasks aimed at supporting the functions and goals of public health initiatives. The Clerical Administrative Assistant III provides administrative support to public health professionals, County departments, and the Public. This role involves handling a variety of tasks to ensure the efficient functioning of the office, facilitating communication, and supporting the delivery of public health services.

Essential Job Duties

  • Assist in daily office operations including answering phones, responding to emails and managing correspondence.
  • Provide front-desk support greeting and assisting visitors.
  • The ability to actively listen to customers, determine their reason for contacting Public Health, and then offer basic information or direct the concern to the appropriate staff to have the concern addressed.
  • Respond to inquiries from the public and provide information regarding public health services and programs.
  • Schedule appointments, meetings and maintains calendars for public health staff.
  • Prepare and organize meeting agendas, materials and minutes as requested.
  • Issues licenses, permits, certificates or other official authorizations in accordance with department policy.
  • Receives and processes payments, reviews for accuracy, reconciliation of payments received and preparation of deposits in accordance with county and department policy.
  • Establishes, maintains and updates files, lists and records for record keeping systems. Searches for files and records for information as needed.
  • Handle confidential and sensitive documents in compliance with department, state and federal requirements.
  • Provide back-up support for other department administrative positions.
  • Performs other related duties as assigned.

Requirements/Minimum Qualifications

  • High school diploma or equivalent, additional administrative training or certification is a plus.
  • Two to four years’ experience in administrative or clerical role, preferably within a public health or healthcare setting.
  • Two years of related college or business school course work may be substituted for two years of experience.
  • Knowledge of public health principles and practices is advantageous.
  • Strong verbal and written communication skills to effectively interact with customer. Bilingual preferred.
  • The ability to manage time and tasks to complete work effectively. This position requires strong attention to detail, the ability to multitask and the ability to prioritize tasks.
  • Commitment to maintaining client confidentiality and adhering to ethical guidelines, and HIPAA as they specifically pertain to Public Health programs.
  • Demonstrated reliability, punctuality, time management and the ability to maintain professional boundaries.
  • Sensitivity to and respect for diverse cultural backgrounds and experiences.
  • Ability to work effectively within a multidisciplinary team, supporting colleagues and contributing to a collaborative environment in the department, the county and the region.
  • Basic proficiency in using computers, copies, fax machines, phones and electronic medical record systems for documentation and communication. Familiarity with current computer software including Google Sheets and Google Docs.

Licenses, Certificates and Other Requirements

Valid state driver’s license in state of residence
Ability to pass a criminal background check, as required by Washington State Law.
Specific positions may require specialized training or certification
