Brewer Housing Authority / Accounting Assistant / Brewer, ME
(PART-TIME 30 HOURS/FULL BENEFITS)
Our client, Brewer Housing Authority is seeking an experienced Accounting Assistant to provide timely and accurate accounting support for their 7 separate programs each with its own set of books. This is a part-time (30 hours) non-exempt role that is eligible for full-time employee benefits. The position is based in the Brewer, ME office.
\n- Associate’s degree in accounting or related field; or equivalent experience.
- 2 years of experience in an accounting or bookkeeping role, preferably in a non-profit or municipal environment.
- Experience working in multiple sets of books (BHA has 7 programs) and ensuring timely and accurate transactions and entries.
- Excellent attention to detail with a focus on accuracy and quality.
- Interest and ability to learn and attend relevant classes to understand Housing Authority and program requirements.
- Proficiency using accounting software (BHA uses PHA-Web) as well as Microsoft Office Suite. Also, ability to learn software used by HUD, MaineHousing, etc.
- Familiarity with Housing Authority operations, reporting and structure preferred.
- Hourly rate between $20-23; offer dependent on experience; salary review at 90 days.
- Health Insurance through Maine Municipal Health with $5 per week premium for employee-only coverage. PPO plan with a low deductible and low out-of-pocket max.

- General: The Accounting Assistant reports to the Finance Manager and is responsible for ensuring timely and accurate accounting entries for its 7 programs. As a member of a small team, this is a ‘roll up your sleeves’ role and will require pitching in as needed.
- Accounts Receivable: Responsible for receiving and correctly processing all payments ensuring allocation to the correct program. Reconciles all cash flows and funds through cash journals, journal vouchers and general ledgers for each program. Ensures timely deposit of all cash and checks received.
- Accounts Payable: Enters all invoices, ensuring appropriate documentation and approval is received, and work with Finance Manager to maximize early payment discounts.
- Payroll and Benefits: Processes weekly payroll (< 20 employees) for review and approval by the Executive Director prior to submission. Responsible for benefits administration (onboarding/offboarding) and review of benefits invoices ensuring correct census and rates.
- Housing Program Support: Maintains records of utility costs and usage for all projects; completes move out procedures for all properties and ensures timely return of security deposits in compliance with lease provisions.
- Other: Assists Finance Manager and Executive Director with reporting, audit support and other projects as needed.
